Our client, a Manufacturing company, is hiring a detail-oriented Quoting Assistant:

SUMMARY

Works directly with the quoting team to provide support to the Quoter(s) and Department Manager(s) regarding the quoting process. Ensure all technical documentation is received and verified. Interacts and responds to external callers, visitors as well as internal contacts at all levels of the organization.


ESSENTIAL DUTIES AND RESPONSIBILITIES (including, but not limited to):

  • Perform all tasks while adhering to their priorities of Safety, Quality, and Productivity
  • Learn, understand, and adhere to Company policies and procedures
  • Assist with organizing office supplies in a cost effective and timely manner; ensuring the office does not run out of critical supplies
  • Sort and distribute office mail to the appropriate department
  • Answer all incoming calls in a polite and professional manner
  • Organize and prioritize information and calls
  • Take messages and/or transfer calls to the appropriate department as needed
  • Greet and register guests
  • Follow all documented security and vendor/visitor protocols set in place by the Company

Quoting Assistant Activities:

  • Support the Quoters in all functions of the quoting process
  • Ensure all Request for Quotes (RFQ’s) are responded to a in a timely manner
  • Retrieve quotes & purchase orders from customer’s secured website
    • Set up the quote or the sales order in Global Shop
    • Acknowledge receipt to customer and communicate to Sales team via email
  • Ensure all necessary documentation, including drawings and technical information/customer requirements, is with the quote
    • Collaborate with the Quoting team to ensure any missing documentation / drawings / etc. are received
  • Support file management
    • Manage customer drawings and technical documents according to security protocol
    • File Contract Review document
    • Purge expired Quote/Sales Order documents monthly
  • Respond to customers with status updates in a timely manner (quotes, no-quotes, order status, etc.)
  • Manage part masters
    • Create/update new items per order
    • Review accuracy (compare information with customer’s purchase order)
    • Review dashboards daily to ensure all updates/revisions/descriptions remain accurate throughout the project
  • Attend on-site training and safety classes to increase knowledge

QUALIFICATIONS:
Effectively communicate and understand job instructions both verbally and written in the English language

  • Ability to effectively communicate with employees, both verbal and written: ask clarifying questions, participate in active listening, deliver and receive clear and concise information, direction, or instruction
  • Good customer-relation skills
  • Ability to define problems, collect data, establish facts, and draw valid conclusions

  • Exhibit workmanship skills that demonstrate ethical business practices and promote forward thinking
  • Willingness to do any task assigned or requested
  • Ability to learn and comprehend customer’s technical documentation
  • Global Shop ERP Software or other ERP Software experience preferred
  • Computer skills required in this position (Microsoft Office Products)
  • Ability to learn and utilize Advanced Planning System (APS) within the ERP system
