Summary
90% Reception. Offer exceptional customer service to visitors, donors, faculty, staff and students. Answer and route incoming phone calls for the Ross School. Complete or change reservations for rooms in the Ross Room Reservation System. Manage the correspondence in the Ross Facilities and Ross Operations email accounts. Respond to customer requests or coordinate responses with the appropriate members of the Operations department. Place service calls, as appropriate, for office equipment and general office maintenance. Communicate clearly in written and verbal form with multiple departments, students, staff, and faculty community members. Proofread and prepare correspondence. Assist with development and preparation of department guidelines and procedures, and other related reference materials for departmental use. Coordinate with Facilities Supervisors to ensure customer requests are being addressed. Provide support to the Facilities Assistants, as required. Prepare weekly reports and other documentation to support event planning & scheduling. Assist with academic class and exam scheduling as needed.
10% Other. Assist with special projects and other duties as assigned. Support events, large proceedings, student activities throughout the business school complex. Monitor classrooms, conference rooms, study rooms, and open circulation spaces. Verify rooms/spaces are in proper condition for each activity. Support the team to inspect and clean meeting rooms, offices, restrooms, and other public spaces during building hours to ensure all areas present well for use. Assist with setting up furniture for events when needed.
Required Qualifications*
A high school diploma or equivalent and 1-2 years of work experience, preferably in an office environment as a receptionist. Strong customer service presence; superb interpersonal and communication skills with the ability to communicate positively and professionally with a diverse population required. Demonstrated accuracy and attention to detail is necessary. Ability to work independently and to exercise initiative. Excellent attendance and punctuality record is critical. Ability to multi-task, organize workload and exercise discretion with highly sensitive and confidential information is critical. Must possess ability to work in a team environment. Proficiency with Microsoft Office (Word and Excel) is necessary.
Desired Qualifications*
Knowledge of University policies, procedures, and regulations desirable. Secretarial/Administrative Coursework desired.
Work Schedule
40 hours per week:
Tuesday-Friday 8am-5pm
Saturdays 7am-4pm.
