Job description
Primary Purpose of Position
- Answer all incoming reservation calls in a polite and hospitable manner.
- Follow the Leading Quality Assurance Standards for Reservations (see attached).
- Anticipate guest needs by asking probing questions about their upcoming visit
- Note and confirm the reservation with all pertinent guest information.
- Accurately classify VIP codes per the hotel’s VIP procedures.
- Communicate extraordinary requests, guest issues and any other pertinent information to management.
- Maintain paper and online files in a neat and orderly fashion.
- Maintain a neat work area.
- Maintain accurate notes and traces to ensure full and proper follow-up to reservations action items.
- Communicate guest concerns, requests and special requirements in a timely manner to appropriate departments.
- Assist the Reservations Manager in managing hotel operations to maximize profitability and growth.
- Assist the Director of Sales in entering and maintaining room group blocks
- Ensure maximum room occupancy in line with company policies on rates and reservation rules. Achieve room revenue goals.
Education/Experience
- High school diploma or equivalent
- Previous call center experience beneficial
- Knowledge of Word, Excel and Outlook mandatory.
- Springer Miller experience beneficial.
- College or university qualifications beneficial.
- Experience should include prior hotel operations experience
Special Skills/Equipment
- Must have at least a high school diploma and Bi-lingual in English/Spanish beneficial
- Ability to read and comprehend complex instructions, correspondence, and memos in English.
- Ability to write complex correspondence.
- Ability to hold and comprehend phone conversations.
- Ability to calculate figures and amounts such as percentages and payments.
- Ability to work with ease with US$.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form.
- Ability to deal with problems with several variables.
- Use of a 10 key adding machine.
- Personal Computer Experience
- Use of Word, Excel and Outlook
- Basic Accounting skills
- Ability to deal with written and reasoning skills.
- Ability to fully comprehend complex equipment instructions
- Ability to be seated and work on a computer for long periods of time.
