CVD Equipment Corporation, located in Central Islip, NY, has an opportunity for a Sales Administrator who will provide administrative support to the Sales Department with a variety of tasks such as data entry, document preparation and organization, shipment coordination, hospitality planning, and travel accommodation assistance.

Essential Functions:

  • Maintain databases of customer prospects and sales opportunities.
  • Produce documents such as order acknowledgements, invoices,and order acceptances.
  • Prepare packing lists, commercial invoices, shipping labels and coordinate shipments for domestic and international customers.
  • Schedule customer visits, meetings, and manage overall calendar.
  • Reserve conference rooms, receive guests, and provide hospitality service.
  • Facilitate visitor management procedures such as check-in, badging, and health and safety protocols.
  • Organize and assist with travel arrangements for staff.
  • Collect, organize, and file sales documents.
  • Provide overall support to the sales team, build relationships, and promote excellent customer service.

Education & Experience:

  • High School diploma or equivalent; Associates/Vocational degree in business or related field
  • 0-2 years of experience in an administrative support role; preferably in Sales or Customer Service.

Required Skills & Abilities:

  • Ability to enter data efficiently and accurately.
  • Professional demeanor and strong interpersonal skills
  • Strong MS Office Suite skills.
  • Ability to communicate ideas and information effectively within a team environment.
  • Strong organizational skills; ability to prioritize and follow-up
  • Ability to manage multiple tasks.
