Santa Fe Recovery Center is searching for an organized and motivated Schedule and Admissions Manager to work with our Medical Team. The Scheduler and Admissions Manager generates, manages, and updates master schedules while making adjustments as needed according to budgetary constraints, census fluctuations, call-ins, and pre-planned leaves of absence and is responsible for coordinating the admissions process for the Center's clients. The qualified candidate should have experience working with clients and experience in producing and managing staff schedules.
Duties and Responsibilities:
- Reviewing requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence
- Responsible for producing and communicating bi-monthly medical staff schedules ensuring appropriate staff-to-client ratios for all shifts per ASAM Level standards
- Producing and communicating all monthly on-call schedules for providers per ASAM Level Standards
- Fulfilling staffing vacancies in advance to ensure adequate coverage for all shifts
- Scheduling efficiently to reduce the use of overtime
- Keeping meticulous attendance records and assisting with the progressive disciplinary process if staff members accrue excessive absences and/or tardies
- Utilizing computer software to prepare, change and update the master schedule
- Obtains applicant information by requesting completed applications and medical information, verifying and clarifying information, interviewing patients and family members, and explaining admissions criteria
- Manages the onboarding of clients and medical staff
- Prepares admissions reports by collecting, analyzing, and summarizing data and trends. Organizes client records and documentation
- Ability to perform other duties as assigned
Minimum Qualifications:

- Proficient in electronic record management systems
- Proficient in using scheduling software tools to maximize staffing patterns to staff-to-client ratios
- Efficient typing and data-capturing skills
- Advanced communication and customer relation skills
- Proficient in Microsoft Office
- Ability to multitask on a team and alone
- Ability to work in a fast-paced environment
- Ability to react calmly and effectively in emergency or crisis situations.
- Ability to solve unexpected problems as they arise while considering liability, precedence, programmatic implications, and other possible future impacts on the program, services, or organization
- Ability to maintain effective working relationships with all levels within the organization and with external stakeholders
- Ability to communicate clearly and accurately, both verbally and in writing
- Ability to exercise tact, patience, and discretion when dealing with residents, families, staff, and the public
- Ability to relate with understanding and kindness to residents and their families
- Ability to keep observations, conversations, and information confidential
Education and Experience Requirements:
- A bachelor's or associate degree in business administration
- Experience producing and managing staff schedules
- 3 years' experience working with patients preferred
- In the case of a recovering person, he/she must have successfully maintained a two (2) year period of abstinence from alcohol and other drugs
- Bi-lingual/bi-cultural (Spanish/English) preferred
- Must have and maintain a valid New Mexico driver's license as well as auto insurance
