TITLE: Phone Scheduling Representative


IMMEDIATE SUPERVISOR
: Scheduling Supervisor


MINIMUM QUALIFICATIONS:

  • Cooperative work attitude toward co-employees, management, patients, visitors, and physicians
  • Ability to make decisions and solve problems
  • Ability to work in a fast-paced environment and multitask
  • Communicate clearly and proficiently
  • Maintain a quiet workspace to protect patient privacy


REQUIREMENTS:

  • High school diploma or GED certificate
  • Excellent communication skills
  • Good computer skills
  • Strong ethical and moral character references


DUTIES AND RESPONSIBILITIES


I. Communication

  • Communicates effectively and professionally with patients, visitors, physicians, and co-workers
  • Interacts with others in a positive, respectful, and considerate manner
  • Conducts self as a positive role model and team member
  • Respects patients’ rights to privacy, dignity, and confidentiality

II. Duties

  • Schedules procedures, tests, and appointments as directed and communicate proper instructions or information to patient accurately
  • Document accordingly all appointments scheduled and any pre-certifications required
  • Ensure demographic information is current with each interaction to maintain the most up-to-date patient information
  • Answers calls and communicates effectively with patients, other physician offices, and staff regarding questions, concerns, and general scheduling inquiries
  • Follows procedure for schedule changes (e.g., cancellation, rescheduling) to ensure a smooth flow of physician schedules and reduce errors
  • Takes and returns messages as needed during assigned time as directed by management
  • Other duties as assigned
