The Adult Basic Education and Literacy Secretary will assist the Director of Adult Basic Education and Literacy with reporting to the Texas Workforce Commission (TWC), including grant financial reporting, budgeting, federal and state time and effort reporting, and grant proposals. The Adult Basic Education and Literacy Secretary will also provide administrative support to the GED (TXCHSE) and ESL programs.
Required Qualifications
High School Diploma or equivalent
Two years of clerical and record keeping experience
Computer literacy to include proficiency with Microsoft Word and Excel
Strong organizational skills
Excellent written and oral communication skills
Excellent public relations skills
Self-starter
Knowledge of general office equipment to include copier, fax machine, multi-line telephone
Able to work independently
Must possess a valid Texas Driver License, good driving record, and be insurable on Midland College’s insurance policy
Preferred Qualifications
Associate’s Degree
Adult Education and community college experience
Knowledge of TWC reporting and TEAMS
Experience with budgets
Essential Functions
Assist the Director of Adult Basic Education and Literacy with general office duties to include administrative support and telephone communication
Provide individuals with information and assistance with Adult Basic Education and Literacy programs at Midland College
Communicate professionally with staff, faculty, students, and community partners
Maintain a positive working relationship with local agencies, Adult Basic Education and Literacy staff, Midland College faculty and staff, and Texas Workforce Commission staff
Attend required professional development for Adult Basic Education and Literacy Program
Assist data management specialist as needed to keep student, staff, and instructor records up to date
Prepare purchase orders, travel requests, leave requests, expense reports and personnel status forms
Manage and inventory resources to include budget, supplies, textbooks, and equipment
Schedule classrooms and meeting rooms as requested
Assist with annual graduation ceremony
Collect and check payroll time sheets and time and effort reports for accuracy
Answer phones and field questions regarding the Adult Basic Education and Literacy programs and schedules
Copying and filing as needed
Other duties as assigned
Physical Demands
Frequently moves equipment or paperwork weighing up to 20 pounds
Must be able to remain in a stationary position 50% of the time
Use of manual dexterity
Repetitive use of keyboard at a workstation
The person in this position frequently communicates with others; must be able to exchange accurate information
The person in this position needs to occasionally move or drive from office to other locations on or off campus
Office setting
Duties indoors and some outdoors
Ability to work extended or evening hours as needed
