Terms of Employment:


12 months/ 226 days per year. Salary is at the Administrative Support Pay Plan - PG 5 on the EISD Compensation Plan. Annual salary range is $30,917 – $37,239 based upon directly related experience.


Primary Purpose:


Under moderate supervision organize and manage the routine work activities of a central administrative department office and provide clerical support to a director or department head and other staff members.


Qualifications:


Minimum Education/Certification

  • High school diploma or GED equivalent recognized by the Texas Education Agency or a regional accrediting agency and
  • Official college transcripts verifying sixty (60) earned hours of college credit
  • Applicant must have satisfactory outcome of fingerprinting background check. Non-refundable fee (approximately $50.00) paid by the applicant, before continuing within the process towards possible employment

Special Knowledge/Skills:

  • Proficient skills in keyboarding, data entry, word processing, and file maintenance
  • Strong Microsoft Office knowledge (Excel, Word, PowerPoint, Outlook, and OneNote) and ability to use Excel to provide reporting in various forms
  • Ability to prioritize workflow to address the multiple needs of the Director of Special Education or the department
  • Ability to multi-task numerous complex administrative activities
  • Understanding of technology terms and familiarity with technical equipment
  • Effective communication and interpersonal skills

Experience:

  • Three (3) years secretarial experience

Major Responsibilities and Duties:


Records, Reports, and Correspondence

  • Prepare correspondence, forms, reports, manuals, and presentations for the department head and other department staff members.
  • Compile, maintain, and file all reports, records, and other documents as required.

Accounting

  • Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
  • Order and maintain inventory of office supplies and program equipment.
  • Monitor and process personnel time records including leave requests and reports and submit in accordance with district procedures.
Other
  • Answer and respond to incoming calls, take reliable messages, and route to appropriate staff.
  • Maintain a schedule of appointments and make travel arrangements for department staff.
  • Make meeting arrangements for department activities including preparing materials, scheduling and setting up facilities, and arranging equipment.
  • Receive, sort, and distribute mail and other documents to department staff.
  • Keep informed and comply with state and District policies and regulations.
  • Maintain confidentiality of information.
  • Attendance at work is essential job function.
  • Perform other duties as assigned in the best interest of the district.
