JOB OVERVIEW
Reporting to the Senior Manager, Events & Industry Relations, the NYFF Special Events Coordinator is a key seasonal position focused on the late-stage planning and execution of a portfolio of NYFF Official Events. Working within established department structures the coordinator is responsible for creating venue plans, runs of show, invite lists, and orchestrating day-of logistics for their assigned programs. They will participate in after-action reporting as well as the larger festival wrap process.
PRINCIPAL DUTIES
- As directed by the Senior Director of Events, and working from the NYFF Events Plan, they will handle end-to-end production elements for their assigned events including:
- Participating in planning and stakeholder meetings
- Overseeing invite list creation and the invite/confirmation process
- Facilitating required F&B coverage, support staff, etc
- Day-of logistics such as check-ins, volunteer oversight, etc
- “Hosting” their spaces and events, ensuring NYFF Standards are maintained
- Prepare after-action reports for each event.
- Ensure that the festival database is updated with relevant event information
- Venue scouting when needed
- Submit required paperwork - estimates, invoices, etc. - for sign-off/approval.
- Support larger “Gala” Events as required.
EXPERIENCE/SKILLS REQUIRED
- 2-3 years event production/support experience
- Experienced with databases and event management software (Zikpster, Wordfly, Eventbrite, Eventival)
- Comfortable with Google Suite (Gmail, Google Docs, Sheets, Forms, etc)
- Ability to work independently as part of a larger team
- Flexibility to work evenings and/or weekends as driven by the festival calendar
- Customer service experience a plus
- Attention to detail and time management
- Cordial and ability to work in stressful situations
- Film Festival experience is a plus but not required
- NYFF conducts all of its events in person; while some work-from-home/hybrid work can be accommodated, during the festival, staff are expected to report onsite
