Stevedoring Administrative Assistant- Waggaman, LA
This is a non-exempt level position.

Position Summary:
The administrative assistant is a hands-on resource performing a variety of tasks ranging from routine to complex. The ideal candidate will possess a strong work ethic and have a professional persona with a high regard to confidentiality.

Job Responsibilities:
  • Ensure confidentiality on matters related to our department.
  • Organizing and filing of personnel records such as attendance, disciplinary forms, and TWIC card renewal dates.
  • Assist with weekly payroll for hourly colleagues and contractors.
  • Schedule interviews for hourly positions within the department for operations managers.
  • Maintain relations and contact contractor services and arrange orientation.
  • Submit job offers and open job requisitions for full-time hourly positions.
  • Oversight of progression in hiring process.
  • Assist with new hire orientations and reviewing company policies with hourly colleagues.
  • Assist with general information for stevedores (uniforms, payroll questions, company programs, radios etc.).
  • Ability to manage a high volume of phone calls and emails.
  • Order office supplies and PPE for new hire orientation.
  • Maintain service related purchase orders and invoice related questions regarding stevedoring purchase orders.
  • Understand customer requirements and strive to differentiate ourselves from competition.
  • Ad hoc daily reports (attendance, vacation requests, barge draft corrections, additional KPI’s, etc.)
  • Assist operations managers in any additional duties requested.

Job Requirements:
  • Track record of exceptional achievement with a demonstrated desire and ability to proactively take on challenging work.
  • A strong spirit of teamwork and cooperation and a proven ability to cultivate and maintain positive working relationships with people at all levels inside and outside of the organization.
  • Independent decision making and problem solving skills with the ability to develop solutions in a logical and systematic way.
  • Excellent communication skills emphasizing writing and speaking succinctly, clearly and effectively.
  • Excellent listening skills with a strong ability to comprehend communication.
  • Excellent organizational and time management skills with an attention to detail and follow-up.
  • Demonstrated ability to work under pressure to meet deadlines.
    Ability to maintain a positive attitude and adapt to changes in environment and responsibilities.
  • Proficiency in the Microsoft Office (Excel, Word, Outlook)
  • Preferred experience in Maximo/Coupa purchasing software (not required)
