Job Title: Support Services Assistant
Department: Support Services
Position Overview:
Knowledge and experience of office systems, customer service, administrative systems, file management and coordination of resources. Use computer software programs to manage multiple projects, analyze data and tracking required documents. Assists and interfaces with Director of Support Services support the Training, Nursing, Clinical, and Quality Enhancement Departments to perform administrative tasks and assigned projects
Essential Job Functions:
  • Adheres to Athelas Institute Policies and Procedures
  • Complete all state and agency required documentation in accordance with stated guidelines and deadlines
  • Oversight of the MTTP training process, to include; class sign ups, payments and vouchers, course completion status, application submission with the Maryland Board of Nursing
  • Acts as new hire liaison facilitating internal training enrollment, create training files for new employees, and creating access fir electronic training data bases.
  • Interface with various departments including Human Resources and Accounting to assist in the orientation of new employees
  • Responsible for maintaining accurate files and data logs
  • Conducts administrative tasks such as taking meeting minutes, copying, filing, file auditing.
  • Monitor document submission deadlines and make requests for outstanding paperwork.
  • Track and analyze training data as needed.
  • Assist with programmatic quality support needs, such as compliance monitoring, observations, etc.
  • Tracks/ monitors the implementation of corrective action
  • Conducts self in a professional manner.
  • May analyze reports, correspondence and follow up with appropriate written or oral communication.
  • Provides on-site support for meetings, and trainings.
• Work with Department Heads with routine photo copying, general administrative duties, data organization • Create visual and/or written reports for committee presentation
  • Maintains positive, professional working relationships
  • Attend and actively participate in all scheduled meetings
  • Check, and respond to emails daily to maintain proper communication
  • Staff will be required to utilize agency electronic systems for communication, time and attendance, progress notes, incident report filing, etc.
  • Other duties as may be assigned by Supervisor or designee
Education:
At least an AA degree or equivalent experience
Knowledge/Skills/Abilities:
  • Access to reliable transportation
  • Ability to work in a standard office setting and to use standard office equipment, including a computer, vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone
  • Flexibility of scheduling to meet agency and program needs
  • Able to quickly learn Agency policies and procedures
  • Able to communicate effectively with the public and employees in a professional, positive and friendly manner
  • Must be able to handle multiple tasks
  • Must complete and maintain accurate records
  • Drive to various agency sites
  • Excellent oral/written communication skills
  • Excellent computer skills and experience with MS Office.
Physical Requirements: This is a largely sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bending or standing on a stool as necessary. Must be able to drive to Athelas Day and Residential sites.
Work Environment: This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
