Job description
Position Purpose: Coordinates all AP, SAT / PSAT, ACT, and ASC testing, and provides clerical and administrative support related to testing.
Specific Expectations for Prep Faculty & Staff:
In addition to regular position duties, the following duties and responsibilities are expected as part of the faculty/staff workload:
chaperoning, community responsibilities, professional development, and trainings, classroom substitution, holding office hours, proctoring exams, admission interviews, and attendance of, or participation in, mandatory meetings and/or events (e.g. Directors Day, open houses, Schools annual auction), as required and directed by your supervisor. If staff is required to work outside of the regular work schedule, permission to work outside of the regular work schedule is required; non-exempt employees will receive overtime pay, as eligible.
Essential Functions
Coordinates student testing for the PSAT, Practice ACT for underclassmen, and, as needed, school-day testing for SAT or ACT
Oversees testing for students with accommodations, including coordination of proctoring and implementing accommodations for standardized tests such as those offered by the College Board & ACT
Coordinates all facets of the AP examination process, including ordering materials, managing registrations, tracking registration payments, coordinating & training proctors, implementing extended time testing, and coordinating details of the testing day
Oversees testing for students with accommodations, including the coordination of all tests in the ASC
Provides proctoring support in the ASC, if needed
Contributes to SHP Profile for colleges, collects data for school and community reports
Coordinates accurate records of student testing and academic work with the Registrar
Provides clerical support as needed to the AP for Curriculum & Academics, Educational Therapist, ASC Director, and Registrar, as appropriate and as related to testing
Other Important Responsibilities
Creates finished documents from notes or outlines, including letters, memos, project summaries, meeting agendas, spreadsheets and presentations. Prepares PowerPoint presentations from outlines or notes
Answers incoming telephone calls as needed; answers questions, resolves issues, takes messages, forwards calls to the appropriate party
Contribute positively to employee morale; maintains a positive, pleasant demeanor to all constituencies; provide positive encouragement to students
Performs administrative assignments with minimal direction
Weekend hours are required on a regular basis
Other duties as assigned
Qualifications
Bachelors degree required, and a minimum of three years of experience in a similar position or an equivalent of experience and training
Excellent writing and proofreading skills required
A clear commitment to the educational philosophy of the school as articulated in the Goals and Criteria of Sacred Heart Schools and professional behavior based in it
Ability to work well on self-directed projects as well as collaboratively with colleagues and students
Ability to work well with high school students and with adult colleagues; willingness to be an active, enthusiastic member of the SHS community

Ability to apply common sense understanding and to carry out instructions furnished in written or oral form

Physical Requirements and Work Environment
Regularly interacts with students and visitors
Works in a highly stressful environment dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts.
Must comply with all state vaccination requirements and show proof of vaccination including but not limited to COVID-19 or proof of eligibility for exemption.
Ability to travel safely and comfortably across a 64-acre campus.
Regularly uses close and distance vision working at a desk and computer screen/keyboard for extended periods of time.
Works in a traditional climate-controlled office environment.
Regularly sit, talk and hear, turn, bend, reach; must be able to lift 12 lbs. regularly and occasionally lift up to 30 lbs.
