Job description
The Unit Support Specialist independently performs all clerical and receptionist duties to coordinate the activities of the department, including the management and analysis of data and reports, the registration and scheduling of patients for tests and procedures, recommending and implementing process improvements, etc.
In the execution of job duties, it is the universal expectation that all tasks are performed with a patient centered focus, while also seeking opportunities to continually improve core processes. Incumbent will be scheduled based on operational need, which may include but is not limited to: holidays, extended shifts, night and/or weekend shifts, standby and/or on-call. Reports to: Supervisor, Manager, or Director
Essential Functions
Answers telephone promptly and courteously, takes accurate and complete messages, forwards or answers inquiries as appropriate. Demonstrates accuracy in preparing correspondence, reports and messages.
Ensures supplies, equipment, and work environment are kept clean, well stocked, and organized at all times. Accurately orders and receives all patient supplies, e.g. dietary, equipment, as directed. Coordinates the supply order with fiscal responsibility.
Compiles download of data for reporting purposes as assigned. Creates and maintains documents as is needed, to include forms, files, rosters, publications, grids, spreadsheets, etc. In support of quality review, process improvement, statistical reporting, etc., creates ad hoc reports as requested, e.g., procedures counts, inpatient vs outpatient, LOS, etc. Verifies daily census and distributes report timely to departments/individuals as is appropriate.
Provides a positive interface with internal and external customers. Coordinates activities as is necessary with patients, physician offices, and other departments. Schedules appointments, procedures, and all other patient services in a timely manner.
Exhibits familiarity with computer programs used to support unit functions. Serves as liaison to IS to assist with the coordination of software upgrades and testing, dictionary maintenance, troubleshooting, etc.
Reports perceived needs of the unit to department leader, i.e., staffing concerns, scheduling issues, equipment problems, etc. Provides leadership on projects as is appropriate.
Prepares and maintains medical records to include necessary chart forms, affixes patient labels, and scans applicable documents. Accurately enters, verifies, and/or transmits patient charges as assigned. Develops and maintains familiarity of registration processes and insurance requirements.
Collects and files reports and appropriate information. Maintains unit manuals (i.e., MSDS, physician privileges, operational manuals, etc.).
Non-Essential Functions
Makes it a practice to take charge of self-development by soliciting feedback, setting priorities and then acquiring or strengthening skills and knowledge through coursework or other methods. Makes it a point to put new skills and knowledge to use on the job in a timely and effective manner.
Cross trains in order to perform all assigned duties required by the department.
Assists with orientation and training of others as directed.
Minimum Education
? High school diploma or equivalent ? Preferred X Required
Minimum Work Experience
Required - 2 years experience, one year in a hospital.
Required Skills
Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment and take appropriate action.
