Visitor Services and Office Manager

Position Overview: The Visitor Services and Office Manager is responsible for staffing the Society’s front desk and reception area, and ensuring a positive experience for visitors. The Visitors Services and Office Manager will maintain the functionality of public spaces within the museum complex and assist in the administrative tasks that support public engagement.

Terms of Employment: Part Time Non-Exempt, 10 am to 4 pm Tuesday through Saturday. Special Holiday hours Wednesday through Sunday from late November through mid-January. Occasional evening hours for special events. Reports to Wilton Historical Society Director.

Pay - $21/hr.

Key Responsibilities:

Visitor Services

  • Staff front desk and main lobby area during museum’s operating hours.
  • Greet and orientate visitors as they arrive by informing them of available current exhibitions or programs.
  • Answer phone calls and email inquiries to the Society.
  • Track registrations for programs and fundraisers; generate registration reports for attendee check-in.
  • Check-in preregistered guests for museum programs as they arrive.
  • Track visitor metrics through demographic surveys.
  • Complete transactions for programs and exhibition admissions.
  • Complete transactions in the Society’s gift shop through the Shopkeep POS system.
  • Assist in wayfinding for visitors.
  • Answer visitor questions on Wilton history.
  • Lead tours of museum grounds and exhibitions.
  • Assist in the planning, set-up, and execution of programs.
  • Assist in managing and organizing volunteers and docents for tours, programs, and events.

Office Manager & Public Outreach

  • Assist with data entry and management of Society’s Little Green Light donor management database. Related tasks will include drafting donor acknowledgement letter templates, creating and mailing membership renewal letters, and organizing mailing lists for Wilton Historical’s Annual Appeal and events.
  • Organize and re-order office supplies as necessary.
  • Assist with management of the Wilton Historical gift shop, the Betts Store. Tasks may include reordering inventory, entering data into the POS system Shopkeep, creating price tags for new inventory.
  • Update the Society’s website with program and exhibit information.
  • Additional tasks as assigned.

Additional Skills & Qualifications:

  • Proficiency in Microsoft Word and Excel a must.
  • Basic computer literacy and proficiency with technological devices like iPads a must.
  • Proficiency with Wordpress a plus.
  • Excellent public speaking and oral communication skills.
  • Familiarity with Audio/Visual equipment and a plus.
  • Familiarity with design software/programs such as Canva, Photoshop, and/or GIMP a plus
  • Must possess high initiative and problem-solving skills.
  • Ability to multi-task and adapt to changing priorities within organization
  • Effective communication skills with other staff with regard to preparing, organizing, or carrying out tasks to completion.
  • A strong interest in history.
  • Must show proof of full Covid 19 vaccination.
