    POSITION DESCRIPTION
    :

    Manage, oversee and implement all aspects of the AP process from purchase orders to payment, while maintaining budget limits and proper accounts for multiple school buildings. Collaborate and problem solve with vendors and co-workers regarding billing issues and payment status.

    Job Responsibilities:

    • Responsible for reviewing, preparing and distributing all district payments including purchase orders, refunds and employee reimbursements.
    • Monitors and helps track items in the district AP and prepaid expense accounts.
    • Reviews and ensures accuracy of vendor invoices and purchase orders (includes verification of correct vendor remittance information).
    • Distribute incoming invoices and statements to appropriate staff, when received by the business department.
    • Liaison for building staff – responsible for timely processing of purchase orders for payment.
    • Communicates effectively with vendors, external clients and other professionals in reference vendor statements, inquiries and miscellaneous concerns.
    • Apply vendor credits to the AP system and ensure payment is received for any outstanding credits.
    • Prepare weekly check reports for all fund accounts.
    • Provides recommendations of improvement of the payment process.
    • Stays abreast of RESA SMART AP and Purchasing program updates.
    • Respond to and resolve questions regarding the SMART Purchasing program to users within the district (includes SMART Purchasing program training and assistance for new users).
    • Maintains historical records and provides reports for audits.
    • Prepares monthly check register report for Board of Directors meetings and district website.
    • Responsible for submitting Unclaimed Property Report to the State of MI after performing due diligence on uncashed checks within the district, annually.
    • Maintains district-wide Amazon purchasing account.
    • Process and distribute annual 1099s for vendors.
    • Perform other duties as assigned by the immediate supervisor.

    Job Qualifications:

    • Minimum one year of experience in accounting or bookkeeping
    • Excellent computation and organization skills
    • Attention to detail
    • Associate's Degree preferred

    Compensation:
    Classification D-1 of the GPAEOP CBA salary range is $13.79-$22.88. GPAEOP Members are also eligible for a comprehensive and competitive benefits package including health/dental/vision/life and long-term disability insurance.
