Job Responsibilities:

  • General Office duties including making copies, answering phones, general typing, distribution of mail, postage meter, etc.
  • Coordinate car schedule, maintain inspection and maintenance dates.
  • Data entry of all authorizations for IBHS and CAIS.
  • Open charts and maintain proper paperwork within chart according to chart's checklist.
  • System closing of charts with appropriate paperwork as well as scanning of face sheet, psychiatric evaluation, psychological evaluation and treatment plan(s).
  • Weekly filing of IBHS paperwork, progress notes, and packet forms.
  • Crete new client charts for initial IBHS cases and entering all the necessary information for billing purposes.
  • Responsible for keeping Plan of Care Summary up to date.
  • Responsible for upkeep of IBHS including forms and necessary paperwork.
  • Responsible for keeping authorization log updated.
  • Scheduling psychological evaluation appointments and preparing packets for psychologists.
  • Send out parent letters for upcoming intakes.
  • Run weekly EVS's and filing necessary EVS's bi-monthly for billing purposes.
  • Responsible for being the back-up billing in case of vacation or sickness of office manager.
  • Clerical assistance, if requested, to coordinators as related as related to their programs.
  • Maintain and distribute therapeutic games to appropriate staff.
  • Other duties as assigned.
