Role Overview:

Keeps records and executes administrative policies determined by or in conjunction with members of the Management Team.

Areas of Responsibility:

  • Greet all clients, both internal and external, and vendors, in a professional and courteous manner.
  • Effectively answer client inquires and provides support on a multi-line telephone system.
  • Responsible for data entry, creating files for all departments within the facility.
  • Responsible for employee event planning and execution.
  • Assist with coordinating community involvement projects.
  • Assists with completion of special projects as needed and assigned, including plant meetings, client meetings and day to day business of the facility; this will also include above duties for the PackRight Center.
  • Management of office supplies, mail duties and all FedEx duties.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facility, coordination of needs for breakfast and lunch for various meetings. Assists with setting up off site meetings and meals as well.
  • Assists with communications to and from Shared Services group.
  • Manages security system needs and supplies.
  • Manages, in conjunction with the Health and Safety Manager, inventory for Health and Safety supplies.
  • Management of office equipment such as copiers, fax machines and printers; including supplies for this equipment.
  • Manages conference room scheduling and preparations for meetings; including all supplies.
  • Other job duties as assigned.

Education & Certifications

  • High school diploma or general education degree (GED); or three to five years related experience and/or training; or equivalent combination of education and experience.
  • Bi-lingual a plus but not required.

  • Demonstrate strong interpersonal and communication skills with leaders as well as individual contributors.
  • Willingness to work independently and also as a member of the DS Smith team.
  • Able to work with minimal supervision while being detail-oriented with outstanding organizations skills.
  • Excellent time management skills are required.
  • Comfortable working in a fast-paced environment with short deadlines, multiple tasks and frequent interruptions. Willingness to quickly accommodate changing priorities.
  • Follow through and pride of ownership of final work product.
  • Strong organizational skills.
  • Excellent written and verbal communication skills.
  • Computer knowledge to include Internet skills, MS Word, Excel, Access, Outlook, and Power Point required.
