Job description
OBJECTIVE: The Administrative Assistant will provide administrative support to PTS by efficiently and expeditiously performing a wide range of tasks. They must be able to work with minimal guidance and establish priorities to perform quickly, accurately, and effectively under pressure of deadlines.
ORGANIZATIONAL RELATIONSHIPS:
REPORT TO: Administrative Supervisor and Administrative Manager
ESSENTIAL DUTIES AND JOB FUNCTIONS:
· Prepare correspondence
· Assist project team with mailing, filing, copying, scanning, and other duties
· Input, file, and organize all reports ensuring accuracy and completeness
· Organize and maintain all files
· Receive, seek approval, and route back all incoming SPF and FFE requests
· Track and report quarterly FFE expenditures
· Prepare, track, and maintain project budget sheets
· Track permit listings for PHR group hotels’ engineering teams and ensure permits are up to date
· Assist with product inquiries/orders and serve as main point of contact as official Miwa Lock distributor
· Obtain quotes for purchase orders
· Prepare, process, and track purchase orders
· Assist in logistical preparing and receiving of orders
· Obtain invoices for purchase request processing
· Prepare monthly utility consumption reports
· Maintain petty cash funds
· Maintain and update contact lists
· Conduct monthly inventory and keep record of all materials and equipment
· Track all incoming and outgoing inventory
· Ensure office is sufficiently stocked with supplies (i.e. paper, water, uniforms, etc.)
· Interact with other personnel within the PHR group
· Perform other duties as assigned by the supervisor as needed
QUALIFICATIONS:
· Minimum of an associate or bachelor’s degree
· One to two years of experience in administrative work or customer service
· Must be dependable, self-motivated, and a team player
· Organized, detail-oriented professional, and maintains confidentiality
· Attention to detail in all areas of responsibility, ability to perform multiple tasks at once
· Must be able to work in a fast-paced environment
· Possess strong interpersonal skills, excellent written and oral communication skills in English
· Microsoft Word & Excel skills required
