The Opportunity:
Worldwide Headquarters is the centralized location for Worldwide Administration. Serving over 23,000 students in 125+ Worldwide and Online campus locations, academic leadership, course development, technology services, online advising, and much more operate from within the Headquarters office. The Worldwide HQ Receptionist, Building Liaison and Administrative Assistant must possess excellent organizational, verbal and written communication skills.
The Worldwide HQ Receptionist, Building Liaison and Administrative Assistant is responsible for greeting and assisting all visitors in a friendly, courteous and professional manner as this position will be the first point of contact for all guests visiting Worldwide HQ. They will provide routine administrative assistance to the Student Success Vice Chancellor and associated functional leads.
This position requires knowledge of and enthusiasm for the University’s mission and niche in higher education. The ideal candidate will participate as a team member and support our team environment.
Job responsibilities include:

Managing the Worldwide Campus toll-free number

Act as lead building liaison responsible to manage building policy and procedures, coordinate safety drills, and serve as the main point of contact for procedural process in cases of emergency

Create and manage both digital and hardcopy filing systems, data-entry, scanning and mailing as needed

Maintain employee and department directories, assist with keeping departmental organizational charts updated, and Headquarters building email lists updated

Assist departments with general office needs and on an as needed basis

Manage inventory, stocking and maintaining supplies
-
Provide routine administrative support to Vice Chancellor and functional leads, such as calendar management, reserving of conference rooms, preparing routine reports and industry correspondence, assisting with travel arrangements and associated expense reports, etc.

Assist with Campus and Department event planning

Assist the Office of the Chancellor with scheduling and confirming appointments, external database maintenance, and industry correspondence
Qualifications
Required Qualifications

High school diploma (or GED)

One to three years professional experience in an administrative setting

Excellent verbal and written communication skills with the ability to effectively communicate with varied constituencies
