Administrative Assistant/Medical Office Receptionist - Monday - Friday. Greenwood Village Office (Monday, Tuesday, Wednesday, and Friday) Thursdays (off-site clinic in Denver).

HOURS: Full-Time STATUS: Non-Exempt

Position Overview:

The Administrative assistant is the first line for customer service, scheduling, and administration of all matters related to the needs of our clients and performs various administrative duties at one of our nine offices in Colorado. This individual must be organized, professional in appearance, have good phone skills, be a team player, and provide excellent customer service. Demonstrated work ethic and reliable transportation are required.

The schedule for this office is Monday through Friday from 8:30 AM to 5:00 PM. Must be available to cover additional Denver offices, including Colorado Springs, as needed.

Responsibilities/Duties:

· Provides quality customer service and answers all calls and voicemails to support clients. Uses phone script to ensure accurate information is provided and received from the client.

· Ensures clients are scheduled accordingly, and appropriate records are pulled and attached as necessary while maintaining HIPAA compliance.

· Maintains office, including inventory, organization, office supplies, and appearance.

· Assists nurses and physicians.

· Checks mail and distributes accordingly.

· Processes payments, make deposits, and end-of-day batch reports ensuring accurate reconciliation.

· Processes shipments and accurately enters them into inventory.

· Ensures outgoing shipments are picked up promptly, monitoring shipments to ensure they are received within the allowable time frame.

· Support the Office Manager in informing her of office irregularities, concerns, or maintenance issues that need to be resolved.

Experience and Requirements:

  • 1-3+ years’ experience of front desk experience in an office setting (required)
  • 1-3+ years’ experience in an administrative support and customer service role(required)
  • Proficiency in all Microsoft Office products (MS Excel and MS Outlook, in particular)
  • Excellent written and verbal communication skills.
  • Must maintain confidentiality and professionalism in working with clients due to the sensitivity of information such as demographic information, health, financial information (credit cards), etc.

  • Must be an advisor to customers with accurate information and demonstrate outstanding critical thinking skills as well as independence in decision-making.
  • Strong coordination capabilities; capable of effectively prioritizing and multitasking.
  • High aptitude for problem-solving.
  • Demonstrated ability to learn, collaborate and adapt to new tools and processes quickly.
  • Must be detail-oriented, well-organized, and responsible for performing tasks including working with systems, processes, and differing personalities.

Physical Requirements:
Eight hours plus per day: speaking on the telephone, entering and retrieving data from the computer, ability to lift a minimum of 25 pounds, sit, and stand.
