Job description
The Executive Coordinator will manage calendars, make travel arrangements and prepare expense reports. A Executive Coordinator helps the President and other executive leaders stay organized by managing their schedules and keeping up with correspondence based on their needs. Will act as a point of contact among executives, employees, clients and other external partners
Essential Duties and Responsibilities:
- Manage Executives’ calendars and setup meetings
- Manage information flow in a timely and accurate manner
- Must think independently to make decisions under pressure
- Must have good communication skills to share information with their manager efficiently and effectively.
- Make travel and accommodation arrangements
- Create expense reports
- Must be resourceful, innovative and proactive to support the executive leaders
- Take minutes during meetings and convert to various distributable formats
- Screen and direct phone calls and distribute correspondence
- Arrange and attend offsite Executive Meetings
- Cater onsite meals for meetings
- Other duties as needed
Qualifications:
- Must have previous work experience as an Executive Assistant, Master Scheduler or a Personal Assistant
- Must have a high level of detail
- Must be well organized
- Must have exceptional time management skills
- Must be highly proficient in MS Outlook
- Must be self- driven
- Must have flexible schedule
- Must be discrete and able to maintain confidential information
Physical Requirements:
- Lift up to 20 lbs. occasionally
- Prolonged periods sitting at a desk and working on a computer
- Ability to see and distinguish color
- Bend, stoop, and carry
- Repeating motion that may include wrists, hands, and fingers
Work Hours & Schedule:
- Exempt Position
- Minimum of 40-45 Hours Week, or other agreed upon documented schedule
- Must be willing to work on an off shift or weekend, as needed. Ability and willingness to work from all BioSpectra facilities
Job Type: Full-time
Pay: From $55,000.00 per year

- 8 hour shift
- Day shift
- Monday to Friday
- On call
