Responsibilities:
- Contract Administration
- Contracts and Letters of Intent
- Change Orders
- Certificates of Insurance
- Create new jobs in the accounting system/folders
- Prepare Releases of Lien for incoming checks from general contractors
- Collect supplier Releases of Lien
- Maintain project files
- Process bond forms
- Process warranty/close-out documents
- Accounts Receivable
- Monthly billing cycle (process monthly invoices)
- This process is generally heaviest between the 10th - 25th of the month with varying deadlines based on the contracts
- Process cash receipts in the accounting system and remote bank deposits
- Follow up on outstanding accounts receivable
- Month-End
- Reconcile invoices to the accounting system
- Billing prep
- Monthly billing cycle (process monthly invoices)
Requirements:
- Accuracy
- Detail oriented
- Proficient in MS Word, Excel, and Outlook
- 10-Key
- Train on accounting software (StarBuilder) which is customized for the construction
- Build professional rapport with customers
- Multi-task and work at a fast pace
- Meeting deadlines is critical
- Work directly with Project Managers and upper management
