Seeking an experienced Banquet Meetings Concierge to join our team!

Act as a support staff to the Banquet Department Management Team. Responsible for filing, answering phones, typing and general office duties.

Responsibilities Include:

  • Distribute and organize office, banquet event order book, purchase orders, outlook appointments, confirm & distribute associate schedules, memos, reports, changes, and revisions.
  • Copy correspondence or other printed matter for Food & Beverage and Kitchen department.
  • Handle and direct all incoming phone calls. Handle and type all correspondence. Greet guests and direct them to appropriate parties.
  • Route incoming mail, faxes, and packages.
  • Use the portable radio / voicemail, or phone system to announce appointments, request and calls.
  • Follow through on all groups coming into the resort.
  • Assist Food and beverage Department with administrative work.
  • Maintain a file system for the Managers on a weekly basis.
  • Prepare detailed group histories for groups that are considering the resort.
  • Maintain office supply orders and par levels.
  • Complete other duties as assigned by supervisor to include cross training.
  • Report all unsafe conditions immediately.
  • Attend all mandatory meetings.
  • Follow and know emergency procedures as needed.
  • Keep work area clean and organized.
  • Maintain a good working relationship with other departments, associates, and guests.

Requirements:

  • Skilled with the use of multi-line telephones and with voice mail.
  • Computer knowledge and ability: Word; Excel.
  • Office machine experience: Fax; photo copiers with sorting and stapling ability.
  • Knowledge of alphabetical filing systems.
  • Ability to communicate effectively with the public and other associates.
  • Read, write and speak English fluently.

Position will be required to work a varied schedule that may include evenings/nights, weekends and holidays.

High School graduate or equivalent preferred. Additional training and education is highly desirable. Requires administrative support experience.
