Job Description
JOB PURPOSE
The Client Service Associate supports the Private Wealth team in providing customized client service and is responsible for administrative services, interfacing with clients and organizational support.
KEY ACCOUNTIBILITIES
  • Demonstrate a passionate commitment to serve clients in the accurate and highly productive completion of account administrative duties. Responsibilities include but are not limited to the following:
  • Initiate and fulfill cash management requests including transaction review and verification of proper processing
  • Manage all aspects of gifting (cash, in-kind, gift letters, Crummey letters)
  • Maintain/update client personal and account data on internal systems and hard copy files
  • Manage preparation of presentation materials for client meetings
  • Become familiar with the investment strategies offered by CIBC and be able to summarize and help family office team access data and descriptions of investment platform
  • Prepare customized client reports such as diversification and funding spreadsheets, cash flow analysis and cash projection reports
  • Assist with tax coordination including interaction with tax preparers
  • Participate in client and internal meetings as directed by Family Office Executives
  • Escalate issues when appropriate and offer solutions to problems
  • Prepare new account packets and open new accounts & sub-accounts
  • Develop understanding of individual client circumstances for assigned client relationships
  • Master knowledge of client account holdings, requirements and operations
  • Act as back-up for Family Office Executive, Senior Relationship Manager and other Client Service Associates
  • Mastery of the following systems: Trust Desk, ORS, Wealth Manager, Revport, Seismic
  • Proactively anticipate and address client needs. Promptly research and bring about resolution of all client issues
  • Provide integral support for client service teams and special projects
  • Achieve and sustain a balanced approach to managing risk by ensuring compliance controls and processes (regulatory, compliance, fiduciary) are integrated into day to day activities
  • Contribute to a strong organizational culture through positive, collaborative behaviors resulting in client and employee engagement
  • Pursue continuous improvement and be a problem solver by anticipating obstacles, developing plans to overcome and looking for ways to improve
KNOWLEDGE AND SKILLS
  • Bachelor’s degree or 5+ years’ experience in trust and/or investments
  • Proficient with Microsoft Word, Outlook, Excel, Power Point and Adobe
  • Exceptional client service commitment
  • Strong interpersonal, written and verbal communication skills with the ability to use these skills to communicate with high net worth clients, intermediaries and colleagues at all organizational levels
  • Flexibility and adaptability to meet the changing needs of our clients, Relationship Managers and Client Service Managers
  • Strong organizational skills sufficient to complete work according to established schedule and timeframes, while accommodating given priorities
