Job Summary :
The Executive Assistant will support Wilton’s President of Finance & Operations and President of Commercial Business. They will be responsible for a broad range of activities that require strong organizational skills, proactive thinking, and ability to multi-task.
The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities including confidential matters. This role reports to and works closely with the Administrative Services and Office Manager.
Essential Responsibilities:
- Strategically partner with Presidents with a high level of interpersonal savvy, business acumen and efficiency to holistically run day to day business operations and mitigate any issues or challenges that arise
- Schedule and maintain a heavy calendar of appointments with various demands and shifting priorities, meetings and travel itineraries (including global time zones). Proactively coordinate related arrangements
- Organize, prioritize and appropriately handle time-sensitive, confidential information and ensure the action required is addressed in a timely manner including email correspondence
- Anticipate and prepare materials such as agendas, presentations, and audio-visual needs for all meetings, visitors, and monthly/quarterly leadership cadences
- Build and maintain strong relationships with internal and external key stakeholders, Presidents’ direct reports and colleagues
- Participate in meetings to record key notes and disseminate follow up action items
- Partner with the office team to deliver on events, offsites and projects that may overlap
- Assist with travel arrangements both domestic and international as well as lodging, and meal planning as needed
- Prepare and submit expense reports
Education and Experience:
- Bachelor's degree or equivalent experience
- 5+ years of experience in similar roles
- Proficient in Microsoft Office including Outlook, Word, Excel, Power Point, and Teams
- Knowledge, Skills, and Abilities:
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly

- High ability to pivot and adapt; thrive in a fast-paced growth environment
- Very strong interpersonal skills and the ability to build relationships across the organization with high level of emotional maturity
- Expert level written and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Highly resourceful team-player, with the ability to also be extremely effective independently
Physical Demands/Work Requirements:
- Professional office environment. This role is sedentary in nature and requires the ability to be seated at a desk for majority of the work day
- Ability to routinely use standard office equipment such as laptop computers, computer monitors/keyboards, photocopiers and telephones
- While performing the duties of this job, the employee is regularly required to talk or hear
- Be able to constantly view a computer monitor which may cause eye strain
- Will need to be able to lift up to 20lbs
- Standing, kneeling and bending due to filing
