Role Overview

The Final Documents Specialist is responsible for receiving all incoming mail daily from title companies and county offices. The Final Documents Specialist documents receipt of original recorded documents by opening mail and imaging it into the system. This individual will work with other departments and title companies as needed for corrections to documents received and or requested by departments for corrections. The Final Documents Specialist will monitor and update documents to ensure they are promptly shipped to investors once purchased. The Final Documents Specialist regularly uses reports from the loan origination system (LOS) and investors are used to identify and act upon aged outstanding documents with title companies and attorneys’ offices to promptly provide the trailing documents for delivery to the investors.

Essential Duties

· Image and audit trailing documents using an audit checklist.

· Contact appropriate parties which includes, but is not limited to title, attorney, county, brokers, and borrower to obtain missing documents and/or document corrections.

· Other duties, as assigned.

  • Receives incoming trailing documents through various mail sources, opens and preps for imaging, scans documents into the LOS and identifies investor on the loan for determination of sending the trailing document.
  • Performs data entry in the LOS by marking documents appropriately and enters shipping date to the investor of record.
  • Pulls reports from the LOS to identify the aged trailing documents that are currently outstanding with investors.
  • Performs follow-up with settlement companies and attorneys’ offices to obtain aged missing documents outstanding for delivery to the investors.
  • Obtain certified true copies of mortgage/Deed of Trust from county recorder offices and or final title policy copies from settlement agents or attorneys’ offices when determined that the document has been lost or aged.
  • Performs weekly reviews of trailing documents received that were not sold to an investor at time of receipt to determine if an investor has been determined for delivery of the trailing documents received.
  • Works with investors, internal departments, and settlement/attorney offices to cure defects found in the mortgage/Deed of Trust or Final Title Policy - including re-recording if needed.
  • Performs other related duties as assigned.

Qualifications & Experience

  • High school diploma or equivalent.
  • Mortgage loan document knowledge and title work experience a plus.
  • Excellent verbal and written communication skills.
  • Strong phone and customer service abilities.
  • Demonstrated knowledge of Microsoft Word and Excel.
  • Organized and detail oriented.
  • Positive attitude with a strong work ethic.

Physical Requirements

  • Stationary position; prolonged periods at a desk and working on the computer.
  • Occasional movement about inside the office to walk to offices and office machinery.
  • Occasional lifting 10 pounds, stooping, bending, standing, reaching.

Job Type: Full-time

Pay: $16.00 - $18.00 per hour
