Your responsibilities


Summary of Position:

Act as the first point of contact to visitors and customers gaining access to the facility. Will acts as the receptionist relaying incoming and interoffice communication – calls/emails. Is responsible for incoming and outgoing district mail including sending packages.

Key Accountabilities:

  • Operate Cisco IP Telephone System to relay incoming and interoffice calls.
  • Greet all visitors courteously, determines their needs, and directs them to the proper person and/or office.
  • Provide excellent customer service via telephone, email, and in-person to both external and internal customers
  • Receive, sort, and post all incoming mail
  • General administrative and clerical support
  • Perform additional administrative office functions and special projects as needed
  • Provide customer service to our clients by carrying out safety and security procedures, site-specific policies and when appropriate, assisting access to the facility for emergency response activities
  • Monitoring building access keys and logbook for vendors. Granting access to the facility using ITAR guidelines.
  • Assist with filling out forms for WMS access.
  • You provide rapid response in critical situations in a calm, problem solving manner
  • Excellent Verbal and Written communication skills, ability to write detailed reports.
  • Ability to enforce and communicate customer procedures, regulations, and standards.
  • Assist internal team with issues/complaints/requests
  • Ensure all necessary supplies are ordered for the communal areas and working properly – kitchen, copy room, lobby, etc.
  • Order marketing materials as needed – including but not limited to, folders, brochures, business cards, flyers, event posters, and special projects
  • Reviewing security camera footage as needed
  • Check daily mail – sort, deliver and place any outgoing mail in the mailbox
  • Support employee recognition – birthday celebrations and work anniversaries
  • Meets TKMNA Employee Attributes/Competencies
  • Support, and comply with all health, safety, quality, compliance and Lean initiatives, requirements, and/or trainings
  • Ability to access and work in SAP or other Warehouse Management System

Qualifications:

Minimum Requirements:

  • High school diploma or equivalent experience.
  • Knowledge of administrative and clerical procedures.
  • Knowledge of computers and relevant software applications.
  • Knowledge of customer service principles and practices.
  • Keyboard skills.
  • Meet ITAR compliance – This position requires access to export-controlled technical data. Employment is contingent upon OneBox’s ability to obtain all necessary export authorizations
  • Ability to read, write, and speak and understand fluent English
