REPORTS TO Finance Officer
WORK WEEK SCHEDULE Monday - Friday WORK HOURS 8:00 AM - 5:00 PM; occasional evenings and weekends MONTHS/YR 12 POSITION
PURPOSE To provide quality customer service and assist the Finance Department.
MINIMUM QUALIFICATION STANDARDS
KNOWLEDGE, SKILLS, AND ABILITIES • Extensive knowledge of office practices and procedures • Ability to multitask • Knowledge and ability to use effective oral and written communication skills • Ability to exercise sound judgment in resolving problems • Possess excellent mathematical skills
EDUCATION, TRAINING, AND EXPERIENCE • Associates Degree, preferred. • Relevant work experience • Experience working with Microsoft Excel spreadsheets and Microsoft Office CERTIFICATION AND LICENSE REQUIREMENTS Must hold and maintain a valid motor vehicle operator’s license according to the State of NC requirements
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greets the public • Answers phones on multiple phone lines and transfers calls to appropriate departments • Maintains confidentiality in all matters • Maintains an attitude of service and professionalism, assistance and support for employees and guests at all times, whether in person or via email or phone • Sorts mail • Receives and send facsimiles • Completes invoice verifications • Maintains copiers and reports service needs to the vendor • Maintains utility invoice spreadsheets for Accounts Payable. • Prepares requisitions as required • Completes calculations for travel reimbursements • Reserves rooms for various meetings • Composes and updates school administrator directory • Issues receipt books • Maintains the travel and front desk manuals
- Files documents for the finance department • Completes charter school invoices • Verifies and mails checks to vendors • Completes all other tasks assigned by supervisor
PHYSICAL DEMANDS • Must be able to use a variety of office equipment such as computers and copiers • Must be able to frequently lift, carry, push, pull or otherwise move objects up to 10 pounds • Due to the amount of time spent working on the computer, standing and walking, physical requirements are consistent with those for light work WORK ENVIRONMENT • Must be able to work in office and public school environments, and come into direct contact with staff and students • Travel is required to schools and Central Services offices
