Summary: Coordinates all front office activities and planning by performing the following duties.

Essential Duties and Responsibilities include the following:

  • Maintains efficient, well-organized and successful front office processes.
  • Coordinates front office daily staffing coverage.
  • Trains new front office staff
  • Works in direct interface with site manager to plan and evaluate processes and staff.
  • Serves as liaison and monitor to address front office problems and needs with site manager.
  • Provides leadership and communication for front office staff
  • Assists site manager in performance reviews.
  • Monitors supply needs and ordering process.
  • Displays competency for the front office positions of registration, appointments and cashiering. ( see associated job descriptions)
  • Provides back up for each for these three positions, as patient volume or staff absence requires.
  • Completes insurance verification for all new patient office visits.
  • Maintains interoffice and external communication systems (email, website registration, courier and fax).
  • Distributes promptly all communication received via these avenues.
  • Processes lab and operative records for physician review and subsequent location to patient charts.
  • Assists nursing staff in processing of patient messages as requested.
  • Files medical records.
  • Travels to the bank to make the daily deposit.
  • Insures performance and customer service issues are addresses in keeping with the organization’s mission and policies.
  • Other duties may be assigned.

Supervisory Responsibilities

  • Directly supervises 0 – 6 office staff. Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

  • Education and/or ExperienceHigh School diploma or GED. Three years medical front office experience. Supervisory experience is preferred.
  • Computer Skills - To perform this job successfully, an individual should have data entry experience with medical office computer software; MEDIC experience preferred.
  • Other Skills and Abilities – 10 key. Strong organizational and interpersonal skills.
