Position: HR Assistant

Department: Human Resources

Primary Responsibilities: (guest interaction, ordering responsibilities, clean up duties, clerical responsibilities, etc.)

· Answer phones, questions, take messages, pass messages to requested HR Team Member, collect voicemails, and return calls

· Assist Team Member walk-ins with Human Resources and departmental questions

· Alphabetize filing and file in HR or Benefits files

· Pull terminated files & file in termination year

· Pull terminated team member I-9’s and file in appropriate file

· LOA tracking for 6-month benefit termination and 10-month employment termination

· Take minutes for HR and grievance meetings

· Perform routine office duties

· Order office supplies and maintain par levels

· Enter Knowcross Tickets

· Set up Zoom meetings when needed

· Generate and assist with mass mailings for Human Resources and Benefits Department

· Process low earnings forms

· Create new job codes as needed

· Order funeral flowers

· Collect and process change of address forms

· Monitor Human Resourcesemail and respond in a timely manner

· Distribute mail

· Coordinate and distribute fair tickets

· Coordinate sign-up and distribute tickets for Children’s Christmas Party

· White Sulphur Springs Gym Membership Administration

· Manage and replenish forms in the Human Resources Lobby

· Proofread documents for accuracy

· Assists all Human Resources Team Members with scheduling meetings and maintains a department master calendar.

· Assist with other HR duties as required

Normal Working Hours: (Shift, days)

· Varied – between 8:30 a.m. – 5:00 p.m.

· Weekend and evening hours as needed

Past Work Experience Requirements: (Type of work, number of years required, equivalent experience, etc.)

· Administrative background

Educational Requirements: (Degree/Certification, highest required/preferred, field of study)

· High school graduate

Communication Skills Requirements: (Verbal: phone, in-person, group; Written: memos, documents)

· Must have excellent written and verbal communication skills

· Must have the ability to compose business letters with emphasis on good grammar

Technical Requirements:

· Demonstrated ability to research, gather data, analyze numbers and write reports

· Demonstrated ability with calendar management

· Good organization skills

· Good telephone skills

Job Type: Full-time

Pay: From $13.00 per hour
