Position Summary:
The Human Resources Coordinator assist the Human Resources Director with the daily functions of the Human Resources department including but not limited to employee relations, benefits, payroll processing and regulatory compliance, enforcing agency policies and procedures.
Responsibilities:
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
- Assist in talent acquisition and recruitment process, conducting employee onboarding, and help plan training & development.
- Collaborates with departmental managers to understand skills and competencies required for job openings.
- Create and maintain all personnel and medical files in a timely manner and per all standards related to agency compliance and other regulatory bodies.
- Ensuring timely HR data entry for all employee-related information into the HR platform systems.
- Assist in having all payroll backup documentation ready for submission including but not limited to collecting the documents, doing the input in the system, documents copies, and ensuring that documents are received in finance in a timely matter.
- Maintains compliance with federal, state, and local employment laws and regulations, and recommended best practices; reviews policies and practices to maintain compliance.
- Assist in maintain a tracker system for the required renewal personnel information to ensure timely renewals for each employee as applied (i.e., licenses, driver’s license, educational credentials, medical form, CPR, etc...).
- Responsible for maintaining employees’ I-9 binders updated, and ensuring we always comply.
- Complete and follow up employee requests including but not limited to employment verifications, income request forms from loans, mortgages, etc… in a timely matter.
- Assist in the coordination of agency benefits open enrollment for eligible employees.
- Assist in the implementation of new hire orientation and employee recognition programs.
- Prepares and completes special projects and reports assigned by supervisor in a timely matter.
- Create and distribute the HR Newsletter or bulletin on a quarterly basis.
- Assist with Job Fairs, and meetings/events preparations. Coordinate audio-visual equipment for HR events when needed.
- Creates and submits the payroll monitor with the complete backup documentation every Friday at the end of the pay period to the HR Manager for review and process payroll in a time in a timely manner.
- Assist in department monitoring compliance following the different regulatory bodies’ standards, rules, and regulations.
- Works and follows the agency workers comp, and FMLA process with employees in a timely manner.
- Participate in continuous agency-wide quality and performance improvement and comply with all Quality Improvement requirements.
- Other related duties or projects assigned by supervisor to ensure the smooth running and efficiency of the department.
Requirements
- Bachelor’s degree in human resources or related field with a minimum of three-year of experience in Human Resources and payroll processing, or an equivalent combination of education and experience.
- Good knowledge of employment /labor laws.
- Excellent communication and people skills.
- Aptitude in problem-solving and desire to work as a team with a results-driven approach. Self-starter and self-motivated with the ability to handle multiple projects simultaneously.
- Ability to work under pressure, maintain accuracy and meet deadlines.
- Proficient with Microsoft Office, PowerPoint, Excel, Publisher, Canvas, and related software.
- Excellent organizational skills and detail oriented.
- Work under a flexible schedule.
- Ability to maintain confidentiality.
Job Type: Full-time
Pay: $50,000.00 - $55,000.00 per year
