POSITION SUMMARY

This professional will provide a range of services to support the HR department in a fast-paced, mission-driven environment. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. They will have previous experience working in an office environment, performing administrative support. The position demands great communication skills, flexibility and efficiency in an environment that changes daily.

RESPONSIBILITIES:

Administrative Support and Analysis (70%)

  • Accurate and timely administration of internal job posting and transfer processes
  • Provide payroll and benefit support
  • Maintain records regarding employee training hours
  • Timely and accurate maintenance of individual applicant/employee files
  • Consistently coordinate applicant background checks, pre-employment screenings, I-9's, etc.
  • licensing audits for all programs (including renewing Department of Child Services (DCS) required background checks
  • Track all employment screenings and background checks for renewal for all employees
  • Reconcile and send for payment, all HR related invoices
  • Manage all employee information in HR systems (ie – name changes, address changes, direct deposit information, tax information)
  • Process new hires and terminations through HR system

Onboarding and Orientation (20%)

  • Work with the HR team to deliver an informative, engaging and helpful orientation process
  • Precisely collect all new employee paperwork in compliance with regulations and organizational documentation practices
  • Coordinate with managers and departments to ensure reliable orientation and training for all employees to ensure engagement with the organization at the critical first stages of employment
  • Responsible for contractors, interns and volunteer background checks and files.

Recruiting (10%)

  • Participate in job fairs and other external recruiting opportunities
  • Provide helpful and accurate information about the organization by developing and understanding of the culture of Children's Bureau and communicate that while serving as the primary contact for candidates
  • Maintain thorough understanding and compliance with all policies, procedures, laws and regulations in regards to recruiting, interviewing and hiring
  • Effectively communicate the department and position specifics to candidates and efficiently notify candidates regarding the status of their application through applicant tracking system (ATS).
  • Responsively demonstrate full life cycle candidate management including: posting open positions, advertising, screening, assessments, background checks, employment offers and onboarding
  • Maintains results of reference checks

JOB REQUIREMENTS

  • Bachelors in human resources, psychology or related field, or a two-year degree in human resources, psychology or related field plus 2 years of related experience or a High School diploma or GED with at least four years of related experience.
  • Knowledge of a payroll system
  • Knowledge of non-profit social services preferred, but not required
  • Must be at least 21 years of age
  • Valid driver's license and valid insurance required
