Summary:
This position serves as an entry-level generalist and will provide the opportunity to learn a wide range of municipal functions, including Human Resources, City Management, Finance, Utility Billing, Municipal Courts, Planning & Development and more. Position will include both front desk functions and special projects. Acts as the primary point of contact for customers visiting and calling City Hall. Will be required to provide excellent customer services to guests, answer phone and route calls to the appropriate departments as well as handle City mail functions.


The intent of this position description is to provide a representative summary of the major duties and responsibilities performed by incumbent(s) in this position. Incumbent(s) duties may include but are not limited to the following:


Essential Job Functions:

  • Complex, high-level research, compiling and analyzing information and creating reports that help present and interpret data to identify alternatives and recommendations.
  • Establish initial contact with visitors to City Hall and direct to appropriate department or Individual.
  • Perform a wide variety of clerical and routine administrative functions, including answering multi-line telephone, coordinating meeting schedules and invitations, etc.
  • Draft original texts, summaries and presentations;
  • Edit documents and spreadsheets for format, grammar, punctuation or content.
  • Receive deliveries to City Hall and contact appropriate department or individual; Microsoft Office work: Word, PowerPoint, Excel, Outlook.
  • Arranging hospitality for City Council and providing assistance to City departments
  • Other duties as assigned.
  • Deliver packages to departments.
  • Maintain a clean work environment and ensure city hall is in order at all times.


Other Important Duties:

  • Provides backup support for other City Management staff as needed.
  • Performs other related duties as assigned.
  • Code and submit invoices for payment.
  • Oversee the delivery and retrieval of mail.
  • Complete credit card reconciliations as needed.


Required Knowledge and Skills:

  • Skilled in providing exceptional customer service.
  • Skilled in speaking and dealing tactfully and effectively with the general public.
  • Skilled in exceptional telephone etiquette.
  • Preferred knowledge of public relations principles.
  • Preferred knowledge of municipal government structure and operations.
  • Skilled in preparing a variety of business correspondence.
  • Skilled in prioritizing, organizing, and managing multiple simultaneous projects.
  • Skilled in preparing clear and concise reports, including oral, written, and audio/visual

Presentations.

  • Skilled in maintaining sensitive and confidential information.

Education, Experience, and Certifications:

  • A Bachelor of Public Administration or related field required.
  • A Masters of Public Administration or a related field preferred.
  • Must pass a pre-employment drug screening and/or post-offer physical exam.
  • Must possess State of Texas Driver's License.

Environmental Factors and Conditions/Physical Requirements:

  • Work is normally performed in an office setting.
  • May be subject to repetitive motion such as typing, data entry and vision to monitor.
  • May be subject to extended periods of mental concentration, research and analysis.
  • May be subject to bending, reaching, kneeling and lifting such as retrieving or replacing files and records, and setting up for meetings and special events.
  • Must be able to lift up to 45 pounds on a regular basis.


Equipment and Tools Utilized:

  • Equipment utilized includes personal computer, copier, calculator, fax machine, cellular telephone, multi-line telephone and other standard office equipment.
