ROLE OVERVIEW
We are looking for a warm and self-motivated individual for the Willoughby office. We are looking for someone to contribute to our organization as a liaison between doctors, nurse practitioners, PA’s and patients in the delivery of treatment for patients suffering from various behavioral health issues. Hours are Monday – Friday 8 a.m. – 5 p.m. Starting rate is $18/hour. Position comes with a full benefits package, paid holidays, and PTO accrual.

RESPONSIBILITIES
  • Speak with patients and families regarding treatment program, explain procedures, communicate with referring physicians.
  • Perform equipment positioning for various treatment sessions.
  • Observe patients during TMS treatment sessions; alert treating physician if needed.

  • Enter and update patient appointment information into EMR system.
  • Assist patients at the check-in window
  • Verify patient’s identification and insurance
  • Secure credit card or form of payment for future balances
  • Administer all new patient paperwork
  • Answer incoming phone calls
  • Respond effectively to inquiries from external and internal sources
  • Perform other duties, special projects and tasks as needed
  • Prepare new client packets weekly
  • Administer Treatment Outcome Package questionnaires
  • Send all new insurance to the benefits team for verification
  • Update patient record when necessary
  • Scan all client paperwork into EMR systems
  • Maintain prescription pick up file
  • Close and lock clinic at night

SKILLS & EXPERIENCE
–High school diploma or GED equivalent
  • 3+ experience as a medical assistant or in a similar role (certification not required)
  • BLS certification preferred
  • Experience in customer service will be a plus
  • Ease with clinical/medical office operations
  • Knowledge of basic bookkeeping principles and office management systems and procedures
  • Working knowledge of office equipment (e.g. optical scanner)
  • Excellent communication and interpersonal skills
  • Organized with the ability to prioritize and multi-task
  • Reliable with patience and professionalism
  • Must have ability to work independently and as a team member
  • Must process strong communication skills, both written and verbal
  • Must have strong attention to detail
  • Must be able to multi-task
  • Must have significant problem-solving capability
  • Must be able to prioritize tasks daily
