The Office Administrator reports to the Office Manager, and is located in Sacramento, CA.

POSITION SUMMARY:

The Officer Administrator’s primary responsibility is to assist with general office duties, including, accounting, reception, human resources, cashier and other office/clerical projects.

QUALIFICATIONS & EXPERIENCE:

  • High school diploma (or equivalent GED) required; relevant college degree, preferred.
  • 3+ years of work experience in office/clerical duties.
  • Proficiency in MS, Excel and Word is a must.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES:

  • Balance, reconcile and report deposits to the accounting department on a daily basis. Identify, rectify and report any discrepancies to the Accounts Receivable Manager and Vice President.
  • File/organize customer invoices and record payments timely and accurately. Provide account statements and invoices to customers per customer’s request.
  • Reception duties include keeping the reception area free from clutter; answer the phone in a timely manner; organization of vender catalogs; maintain printer, copier, cash register and credit card machines.
  • Cashier duties include handling daily exchange of cash, credit card and account transactions; managing the cash drawer, making sure there is sufficient change in the drawer; balance/reconcile drawer at the beginning and end of each day. Maintain the petty cash account.
  • Manage supply ordering of all office supplies and toner cartridges.
  • Assist with human resources duties, as needed (recruiting, terminations).
  • Follow safety requirements.
  • Other duties as assigned.

COMPETENCIES:

  • Fluency in Spanish or Asian-Languages, a plus.
  • Outstanding attention to details; ability to multi-task and perform under pressure; strong time management and organizational skills.
  • Excellent fluency in English (verbal and written).
