JOB SPECIFIC RESPONSIBILITIES

  • Maintain day-to-day running of the Corporate office in Houston, including:
  • Act as a focal point for Houston-based personnel with regards to all Office-related queries; coordinate resolution of raised queries ( e.g. office access, mail, seating arrangement coordination, and others)
  • Engage with 3rd party contractors to support day-to-day office operations (e.g. office maintenance)
  • Track Houston office-related budgets and identify any deviations as soon as possible; prepare budget forecast for next year
  • Responsible for arranging Facilities related POs approvals and payments
  • Identify potential cost savings opportunities in terms of supplier management
  • Prepare designated office areas for New Hires and familiarise them with the emergency exits and muster points
  • Coordinate preparedness of Fire Wardens
  • Be available to coordinate office response in case of building issues, or crisis event (flooding, no power etc…)
  • Support Global Facilities Team on specific Office-related projects (scoping, delivery); examples of projects include: lease negotiation, savings identification, office design and others

  • Proven administration experience ideally within a similar role in Facilities
  • Fluent in English
  • Excellent communication skills
  • Strong procurement and negotiation skills
  • Good IT skills including using MS Office
  • Strong attention to detail
  • Strong organisational abilities
  • Willingness to learn and a passion to provide a great service to all relevant parties
  • Ability to multitask and prioritise workload
  • Being open-minded and approachable
  • Punctual and hard-working
  • Driving license

Desired

  • Experience in involving cross-functional stakeholder management (e.g. involving all key relevant parties in a project)
  • In-depth experience in Budget Management
  • Highly action-oriented
  • Ability to manage risks effectively
  • Ability to clearly articulate benefits & costs of a project

  • College degree

  • Bachelor in Business, Bilingual Executive Secretary and related areas.
