Program Assistant - Communications & IS
Job description
In Communications, they will perform a wide variety of basic graphic design functions and tasks using various equipment and machinery to finish the work orders. This includes large cutters, button making machines, hemming, grommets, laminating, etc. They sort and file documents and records, maintaining index and cross-reference files per district records management standards. In Information Services they will sort, file, retrieve and distribute files, records and other documents. Index and maintain electronic database information and centralized filing systems.
- Prepare and/or proofread a variety of forms, letters, fliers, reports, promotional materials, etc. from rough draft or detailed instruction. Perform data-entry. Research and collect data for special projects and reports.
- Provide information on the phone, or in person, in response to departmental inquiries, schedules, district services and other general information. Answer the multi-line telephone and direct calls to appropriate personnel and take accurate messages. Attend community events and volunteer events to provide support to program specialists and other staff as needed.
- Inventory, order, and maintain facility and program supplies
- Assist in the production of graphic materials on assigned projects, including basic graphic design, printing, quality control, and finishing.
- Assist the information services department with physical deployment of equipment and removal of electronic waste (E-Waste).
- Business English, spelling, punctuation, letter writing, report preparation, record keeping and mathematics.
- Operations and services provided within assigned program area.
- Recreational, educational, cultural, age-specific, and social needs of the community.
- Applicable federal, state, and local laws, rules and regulations, district policies and procedures, and district and mandated safety rules, regulations, and protocols relevant to the program area to which assigned.
- Modern equipment and communication tools used for business functions and program, project, and task coordination, including computers and software programs relevant to work performed.
- Techniques for providing customer service by effectively resolving conflict with the public and district staff.
Any equivalent combination of education, experience, and training that would likely provide the applicant with the required knowledge, skills and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Equivalent to the completion of the twelfth grade.
AND
A minimum of one (1) year of general clerical experience, including public contact. Familiarity with recreational programming preferred.
Licenses and Certifications:
Valid Oregon Driver License and good driving record, depending on functional area.
Current CPR and first aid certifications, depending on functional area.
Bilingual and multilingual skills are preferred.
