Nisga’a Data Systems is seeking Program Assistant I in Arlington, VA.

Essential Job Functions:


The Program Assistant I handles differing situations, problems, and deviations in the work of the office according to the COR’s or GTM’s general instructions, priorities, duties, policies, and program goals. May receive assistance in the performance of special assignments.

  • Carries out recurring office procedures independently and selects the guideline or reference that fits the specific case
  • Receives specific instructions on new assignments and completed work is checked for accuracy
  • Responds to routine inquiries that have standard answers; refers inquiries and visitors to appropriate staff
  • Screens telephone calls, visitors, and incoming correspondence
  • Controls mail, assures timely staff response, and sends standardized e-mail correspondence
  • Personally responds to requests for information concerning office procedures
  • Determines which requests should be handled by the GTM, appropriate staff member, or other offices; prepares and signs routine non-technical correspondence in own or supervisor's name
  • Maintains calendars, makes appointments, schedules tentative appointments without prior clearance
  • Arranges conferences and meetings and assembles established background materials as directed
  • Attends meetings, records and reports on the proceedings
  • Reviews materials prepared for approval for typographical accuracy and proper format
  • Reviews outgoing materials and correspondence for internal consistency and conformance with GTM's procedures; ensures proper clearances have been obtained, when needed
  • Maintains recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans
  • Collects information from the files or staff for routine inquiries on office program(s) or periodic reports and refers nonroutine requests to supervisor or staff
  • Requisitions supplies, printing, maintenance or other services; types, takes and transcribes dictation; creates and maintains office files
  • Reserves and prepares classrooms, organizes and edits training materials, submits service requests, assists in basic logistical arrangements for meetings, conferences, and training including utilizing on-line video conferencing platforms (MS Teams, Webex, Google Meet, Zoom for Government, etc.), performs data entry on course registration/enrollment, runs reports, and provides general administrative support to students, instructors, and guest speakers
  • Supports both traditional in-person classroom training as well as remote virtual delivery of program courses.
  • Provides technical support and assists in training delivery but is not a subject matter expert trainer, facilitator, or instructor
  • When assisting in the delivery of virtual training programs, duties may include and are comparable to the following:
    • configures the training platform in support of course delivery,
    • provides basic technical assistance and troubleshooting to instructors and presenters as well as students,
    • monitors the virtual participant chat function, provides assistance as required to ensure effective virtual course delivery,
    • assists the instructor in utilizing the training platform in support of polls and breakout rooms,
    • assists the instructor with the creation and implementation of online learning applications such as, but not limited to, Sli.do, MURAL, Mentimeter, etc.;
  • May coordinate refreshments within a training setting, including, but not limited to, ordering, set up, and clean up, under the GTM’s direction, and within FSI regulations.
  • May draft template memos to the Passport Special Issuance Agency (SIA) requesting passports and visas for official travel for staff.
  • Delivers, tracks status of, and retrieves passport and visa requests from SIA, using Government provided shuttle buses.
Qualifications:

Necessary Skills and Knowledge:

  • The ability to work effectively independently and on a team with colleagues in various employment categories, such as civil and foreign service government employees and other contract employees
  • The ability to effectively use Microsoft Office business applications (e.g., Microsoft Outlook, Excel, Teams, PowerPoint, and SharePoint), virtual collaboration platforms, and other technical software sufficient to meet the needs of their specific position with the ability to learn new emerging technologies as necessary.
  • Must be able to effectively perform their role using a variety of virtual training platforms, including but not limited to MS Teams, WebEx, Zoom for Government, Google Meet, etc.
  • Superior organization skills with a high level of attention to detail
  • Effective oral and written communication skills
  • The ability to follow technical direction as delivered by Government/customer representatives
  • The ability to interact effectively in a multicultural setting
  • Excellent customer service skills

Minimum Qualifications:

  • U.S. citizenship
  • Fluency in the English language
  • A high school diploma
  • Two to three years of experience in a related field (or experience as described in the labor category)
