Refugee Services Data Entry Specialist

Job description

The Data Entry Specialist is primarily responsible for ensuring timely and accurate data entry in Catholic Charites Dallas case management system, Apricot360, as well as Refugee Services’ funder required databases, ClientTrack (CT) and potentially MRIS. The Data Entry Specialist will ensure data reflected in the above-mentioned databases is accurately reflected in case files, is entered within the required timeframe and is in compliance with all funder requirements. The ideal candidate will be computer savvy and a fast typist with a keen eye for detail.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Ensures data is in compliance of processes and procedures of all programs within Refugee Services
  • Transfers client data from case files into databases
  • Ensures data in funder required databases matches agency required database
  • Reviews client data for missing information, ensuring each case file information is complete before data is entered
  • Assists with generating periodic reports on program data
  • Certifies file documentation is complete and in order prior to data entry
  • Improves systems by studying current practices
  • Maintains clear communication with Manager and complete tasks accordingly
  • Maintains clear communication with CT staff, attend required meetings, review and update CT programs or forms as needed, provide training/assistance to staff on CT as required
  • Perform other duties as required by supervisor
  • Verify data by comparing it to source documents
  • Update existing data
  • Retrieve data from the database or electronic files as requested
  • Perform regular backups to ensure data preservation
  • Sort and organize paperwork after entering data to ensure it is not lost

EDUCATION & TRAINING:

  • Bachelor’s degree in related field is preferred but not required
  • Previous refugee services, case management, data entry experience preferred

KNOWLEDGE, SKILLS & ABILITIES:

  • Excellent communication skills, verbal, written and interpersonal
  • Computer literate and experience with MS Office suite of products
  • Adherence to applicable professional and agency Codes of Ethics
  • Capable of performing tasks with limited supervision.
  • Efficient time management skills
  • Attentive to detail and highly organized
  • Ability to work in a flexible work environment
  • Proven experience as data entry
  • Basic understanding of databases
  • Good command of English/Spanish both oral and written
  • Ability to lift and carry items up to 50 pounds

OTHER REQUIREMENTS: (background check, driving record, language, physical)

Background Check: This position requires a criminal background check

Driving Record: Clear driving record, valid TX driver’s license, required insurance, and own reliable transportation

Health: Initial TB screen and other public health screenings as indicated by program

Bilingual in a language reflected in the current client population is preferred (Dari, Arabic, Swahili, Burmese, French, Spanish)

Pay: $19+ an hour

Hours: 40 hrs/wk; (evening/night and weekend work may be required)

Office Hours: M/W/F 7:30am – 5:30pm Tues/Thurs 7:30am – 7:30pm

Commute: In-person position; travel required to transport clients (mileage compensated as per federal rate for personal vehicle usage)
