ABOUT US:

Exclusive Testing Labs (ETL) is an environmental consulting firm servicing all 5 Boroughs and the Lower Hudson Valley. We help clients address lead, mold, asbestos, indoor air quality, and other concerns in their buildings, commercial properties, and homes.

We are growing and looking for the right people to add to our team! We need a Sales Team Administrative Assistant. Are you the right person who can perform a variety of administrative, clerical, and support tasks?

THE POSITION:

The duties of the Sales Team Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. Responsibilities also include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.

The ideal candidate should have a strong customer service background with excellent oral and written communication skills and be able to utilize tools such as Google Suite (docs, sheets, calendar, etc.), MS Excel, task managing programs, and office equipment. If you have previous customer service experience or experience as a Secretary or Executive administrative assistant and familiarity within our industry, we’d like to meet you.

Ultimately, a successful Sales Team Admin Assistant should ensure the efficient and smooth day-to-day operation of our office. We are willing to train the right individual!

RESPONSIBILITIES:

Customer Service

  • Field incoming calls
  • Schedule site visits and client meetings
  • Confirm scheduling and set expectations
  • Follow up with clients for proposal approvals

Clerical Duties

  • Manage the President and Sales Director's calendar
  • Assist with project coordination
  • Scan and upload documents
  • Keep client records current

Reports and Proposals

  • Assist in researching environmental compliance as needed
  • Combine files in adobe and send completed reports to clients
  • Prep specialty testing reports
  • Review reports for grammatical errors
  • Create detailed proposals for clients
  • Enter products on opportunity page

CRM Management

  • Move clients through sales pipeline
  • Update client information as needed
  • Log calls and enter notes on leads opportunities and accounts
  • Assign follow up tasks
  • Create work orders and work order line items
  • Upload pertinent documents and photos to leads, opportunities, and accounts

Job Type: Full-time

Pay: From $17.00 per hour
