Scheduling Coordinator – FT w/ Benefits (Mon – Fri 8:00 – 5:00pm EST)

The primary purpose of the Scheduling Coordinator is to maintain office functions of the Admissions Center, which include answering phone calls, delivering intake process, verifying insurance, scheduling patients at the appropriate geographical facility, and contacting referring offices (or prospective referring offices) regarding services across our integrative care model. This position will track the overall experience for new patients within their first 12 weeks, verifying compliance with the program and conducting follow-up calls regarding patient experience.

Essential Duties and Responsibilities

  • Receive inbound calls on all new patients. Assess the patients need for treatment through formal intake process and data collection.
  • Utilizes and maintains Practice Management System to ensure all new patients are given a timely appointment with their provider which includes scheduling for all providers and facilities, accurately capturing demographics, collaborating with office staff around scheduling availabilities.
  • Offers appointment time availability within 48 hours with a licensed physician or counselor.
  • Provides appropriate education to patients regarding office hours, services provided, and expectations of generalized treatment plans.
  • Conduct patient survey on new patients and reports any feedback to management.
  • Tracks the retention of new patients throughout the system, ensuring all patients are receiving timely care based on treatment plan.
  • Manages and maintains patients EMR, including tasking and documentation, ensuring appropriate records are available for appointment, ensuring integrity and quality of documentation, and confirming appointment was seen by appropriate facility.

Qualifications

Education

  • High school diploma or GED. Formal medical office or medical assistant training is desirable.
  • CNA or CMA is preferred, but not required

Experience

  • 3 or more years of experience in a medical office or other healthcare environment. Previous experience with patient communication/outreach efforts is desirable.
  • Previous experience scheduling patients through EMR
  • Knowledge of medical insurance and verification of benefits required
  • Must be proficient with Microsoft Office, specifically, Word and Excel

Job Type: Full-time

Pay: $14.00 - $17.00 per hour
