Job description

Provide support in the administrative efforts of the Oklahoma Tuition Aid Grant (OTAG), Oklahoma’s Promise (OKPromise), the Oklahoma Tuition Equalization Grant Program (OTEG), and other scholarship and grant programs as assigned. Must be dependable and have a good attendance record.
Responsibilities and Duties

  • Assist with processing incoming mail and coordinating large mail outs to schools.
  • Mail OTAG disbursement checks to schools, notify schools when checks have been mailed, and maintain tracking log of checks mailed out.
  • Process completed electronic disbursement reports returned by schools. Includes reviewing electronic report loading output and supporting documentation submitted by schools to identify errors, working with schools to resolve any corrections that need to be made, and loading updates into the OTAG database.
  • Maintain log of disbursement reports sent to schools, track outstanding reports, notify schools of report due dates, and pursue the return of overdue reports.
  • Track funds sent/transmitted to schools and refunds received for OTAG and OTEG including reconciliation of accounts with the Business Office.
  • Assist with processing daily student application data from the USDE Central Processing System when needed.
  • Assist with OTAG award claim processing when needed.
  • Assist with delivery of outbound claims and disbursements reports.
  • Assist with OTEG claims processing.
  • Respond to telephone inquiries from students and campus financial aid administrators and direct calls to other staff as necessary.
  • Maintain applicant and institutional files in support of the OTAG program.
  • Enter OKPromise paper applications into the appropriate database and review for accuracy as needed.
  • Assist with the coordination of document imaging for various programs.
  • Answer OKPromise questions for students, parents, counselors, and financial aid officers.
  • Maintain office supplies.
  • Other scholarship and grant program duties as assigned.

Minimum QualificationsAssociate’s degree and three (3) years work-related experience or an equivalent combination of work-related experience and post-secondary education required. Excellent verbal, telephone communication and interpersonal skills are necessary. Must have exceptional attention to detail and ability to multi-task successfully within multiple deadlines. Must be able to work independently, anticipate needs, and work as part of a team. Word processing, spreadsheet and database software skills are required. Ability to handle a high volume of inquiries from students and campus financial aid administrators during peak times. Word processing, spreadsheet and database software skills are required. Preferred QualificationsMicrosoft Excel and Word experience are preferred. Spanish language
skills preferred.
SupervisionThe employee performs work under the supervision of the Assistant Vice Chancellor for Scholarship and Grant Administration and the Director of Scholarship and Grant Administration.
Work Hours Agency offices are open to the public from 8 A.M. to 5 P.M. Monday through Friday. These are the normal office hours for Agency employees. Physical DemandsAbility to sit and stand for extended periods of time. Exhibit manual dexterity and hand-eye coordination to operate a computer, keyboard, photocopier, telephone, calculator and other office equipment. Ability to see and read a computer screen and printed material with or without vision aids. Ability to hear and understand speech at normal levels, with or without aids. Ability to communicate clearly. Physical ability to lift up to 25 pounds, to bend, stoop, climb stairs, walk and reach. Must use the proper manual handling equipment including but not limited to dollies, carts and lift team members. Duties are normally performed in an office environment with a moderate noise level.
