Performs administrative duties for one or more senior leaders within the organization. Is knowledgeable of corporate policies and practices. Has access to confidential information. Regularly exercise discretion and judgment in their work. Work requires some analysis and the use of initiative and independent judgment. Some business contacts may be sensitive, complex, and sometimes confidential and include management at all levels, both inside and outside the company. Works effectively with little or no supervision.

  • Initiate and formulate travel arrangements according to the calendar, anticipate and prepare detailed itineraries. (International trips, interview candidates, team meetings).

  • Manage and submit expense reports.

  • Monitor and manage meeting requests and/or initiate meetings and reviews. This includes the maintenance of multiple calendars.

  • Coordinate logistics in regard to visitors from other locations and/or internal meetings/reviews on a regular basis.

  • Coordinate large team meetings, bi-weekly Division social gatherings, seminars, dinners, etc.

  • Organize space planning and large offsite events.

  • Perform administrative tasks involving purchasing transactions, including submission and tracking of internal requests, including but not limited to purchase orders, contracts, subscription renewals, and software orders.

  • Assist managers’ needs for hiring, termination, annual review, and onboarding processes.

  • Arrange interview schedules and assist with the coordination of other employee-related processes.

  • Proficient in Microsoft PowerPoint and Excel.

Minimum Qualifications:

  • Minimum of an AA degree from an accredited institution.

  • Minimum of 6+ years of experience in a similar demanding role.

  • Strong collaboration and communication skills.

  • Experience managing events and complex schedules and coordinating all aspects of travel-related activities

  • Capable of working in high-stress and ambiguous environments.

  • Experienced using MS Office tools.

  • Consistently exercise discretion, diplomacy, and tact in correspondence with all stakeholders.

  • The ideal candidate will have problem-solving skills, work with minimum supervision, and be someone who can persuade and influence Executive Leadership.

The hourly range for this position is $25.14 to $45.24, and this role is eligible to earn incentive compensation. The compensation is based on the successful candidate’s work location and additional factors, including job-related skills, experience, and relevant education/training.
