DIVISION:
Audit
GENERAL DESCRIPTION: Work involves disseminating information, maintaining filing systems, and administrative support work. This job is a position of public trust and requires a high degree of confidentiality in handling taxpayer records, information, and payments. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
Qualifications - External
MINIMUM REQUIREMENTS:
Education:
Graduation from a standard senior high school or equivalent.
Experience:
Experience performing clerical and/or administrative duties for an individual or an office environment.
Preferred Experience:
- Experience using Microsoft Word and Excel. Experience using a multi-line telephone.
- Two (2) years’ Experience performing clerical and/or administrative duties for an individual or an office environment.
IN THIS ROLE YOU WILL:
Performs program support for management.
- Performs imaging duties
- Receives, distributes, and date stamps incoming mail. Maintains mail logs as necessary. Prepares outgoing mail and maintains postage balances.
- Assists in answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.
- Develops, coordinates, and maintains filing system for audit and refund assignments
- Prepares, edits, and distributes various cover letters for amended audit reports, amended letters, indexes and mailing labels. Priority work includes statute audits, amendments in hearings, credits, and refunds. Compiles monthly reports as requested by management.
- Processes audit collections on Agency Work Manager and deposits funds. Complies with Agency Records Retention requirements.
- Maintains personnel folders including information regarding driver’s license, automobile insurance, etc.
- Performs copying, sorting, filing and all other incoming and outgoing mail activities.
Coordinates and maintains property and supplies inventory.
- Orders stocked supplies and forms from the state warehouse, such as paper, printer ink cartridges and pre-printed state forms.
- Orders non-stocked products, services, and subscriptions by running appropriate inquiries, obtaining requisition numbers, and forwarding invoices to Accounts Payable for payment.
- Makes purchases using agency approved purchasing methods, processes invoices for payment and verifies billing information to be finalized.
- Maintains inventory of supplies, furniture and building equipment.
- Orients newly hired administrative support staff and new auditors regarding field office practices and agency policies and procedures.
- Travels occasionally to participate in special projects and attend mandatory training located in local and out of town locations that may require overnight stays.
- Performs other related duties as assigned.

Pay: $2,450.77 per month
