Job Description Summary

The Facilities Coordinator assists the Business Expansion and Clinician Services team by ensuring the service delivery of facility needs to our clinicians. Directly supports our Business Expansion team with ongoing facilities maintenance and team-related responsibilities. This role requires the Facilities Coordinator to be on-site in our Troy, MI, Headquarters at least two days per week and occasionally travel to our Michigan practices as needed.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Manage relationships with vendors, service providers, and property managers
  • Ensure that vendor invoices are reviewed by the finance team and paid promptly
  • Provide general overall facility management services, including continuous monitoring of office/facility
  • Address client inquiries and concerns, ensuring timely and quality issue resolution and service delivery
  • Follow up with clients to ensure customer satisfaction
  • Respond to all facility inquiries and complaints, assess problems, and take the necessary corrective action
  • Remain knowledgeable regarding all operational aspects of building systems
  • Coordinate with outside contractors for the service and repairs of equipment
  • Follow protocol for effective building-specific maintenance and safety procedures
  • Maintain ongoing communication with contractors, clients, and team
  • Create and assign work orders to the building engineering staff and vendors
  • Report on open and closed work orders and check the status of open work orders with the assigned party
  • Request, review, and submit work orders, bids, and proposals from vendors
  • Assist in the monitoring and assessment of vendor performance
  • Train vendors on work order and billing procedures
  • Manage complex work orders such as environmental issues and disaster recovery
  • Manage service and performance of vendors and landlords for timely completion of jobs
  • Create and record appropriate written communication between all parties
  • Schedule and document maintenance and repairs on building equipment
  • Communicate frequently with clients, landlords/Property Management, and vendors to resolve issues and provide project status updates
  • Provide facilities helpdesk services on behalf of the client(s) and monitor internal/external workflow for all facilities cases to ensure consistent quality of service and work product
  • Courier shipping/receiving (FedEx)
  • Ordering and inventory management of office supplies, furniture, etc.
  • Assist the Business Expansion team with setting up utilities and scheduling vendors for installation dates

IMPORTANT EXPERIENCE

  • A minimum of 2 years of experience in an administrative or tenant services capacity
  • Previous customer service experience
  • Experience with data entry, expansive reporting, scheduling, internal and external communications, filing, and answering phones
  • Prior experience with property management, managing vendors, facilities, commercial real estate, or professional services is preferred
  • Proficiency in Google Suite (Gmail, Sheets, and Docs)
  • Ability to read and understand floor plans

ADDITIONAL QUALIFICATIONS

  • Knowledge of lease terms
  • Knowledge of management agreements and contract language
  • Knowledge of database software
  • Knowledge of commercial base building systems (HVAC, Electrical, Plumbing)
  • Ability to exercise sound judgment
  • Ability to travel to locations throughout Michigan as needed
