ABOUT BEANS AND BREAD:

Beans and Bread is a comprehensive day resource program serving more than 300 people per day that offers supportive services in the areas of housing, health, mental health, recovery, and employment, helping individuals experiencing homelessness obtain housing and reach their full potential.

SUMMARY:

The Housing Administrative Assistant is responsible for supporting the Housing Coordinator in all administrative components of housing families in the Home Connections project. This position provides the Housing Team with clerical and organizational assistance from the time a participant or family completes enrollment and conducts a housing search through the point of obtaining housing and lease-signing. For families and individuals already housed, the Housing Coordinator Assistant plays an active role in renewal RSARs process and ensuring all income and utility allowances are calculated accurately and timely.

PRIMARY DUTIES:

  • Facilitates communication with landlords and property managers, and assists in scheduling unit inspections
  • Assists Housing Coordinator in obtaining required housing documentation from landlords (lease, lead certification, property registration, W9, etc.)
  • Completes initial and annual RSARs and submits to the Mayor’s Office of Homeless Services (MOHS) within 24 hours of family getting approved for a unit or when income changes.
  • Ensures timely and complete filing of documents in client files and enters all required data in Client Track and Salesforce within 24 hours.
  • Completes furniture assistance process when applicable for families after MBQ inspection and prior to lease signing.
  • Completes MOHS reports within 4 hours of receipt when needed.

SECONDARY DUTIES:

  • Supports Housing Team staff by answering and directing phone calls, filing, and assisting with other daily office needs
  • When necessary, organizes and schedules meetings with clients or community partners
  • Maintains landlord contact list
  • Aids Housing Team in planning and implementing Landlord events and sends appreciation post cards to landlords monthly.
  • Participates in the Housing Readiness workshops as needed

ADDITIONAL DUTIES:

  • Upholds the vision, mission and values of St. Vincent de Paul
  • Attend weekly team meetings for Housing Team
  • Supports a welcoming and positive environment for clients, partners, and volunteers, and works with them effectively
  • Performs other duties as assigned, within the scope of the position.

PHYSICAL REQUIREMENTS:

Type of work:
_____SEDENTARY WORK: Lifting 10 pounds maximum and occasionally lifting and/or carrying small articles and occasional walking and standing.

_____LIGHT WORK: Lifting 20 pounds maximum with frequent lifting and/or carrying of objects weighing up to 10 pounds. It involves sitting most of the time with a degree of pushing/pulling of arm/or leg controls.

__X___MEDIUM WORK: Lifting 50 pounds maximum with frequent lifting and/or carrying of objects up to 25 pounds.

_____HEAVY WORK: Lifting 100 pounds maximum with frequent lifting and/or carrying of objects no more than 50 pounds.

QUALIFICATIONS:

  • HS Diploma or GED required; AA degree preferred
  • Minimum of 2-year administration experience required
  • Strong computer skills with proficient use of Office 365 application and data base system.
  • Knowledge of and respect for confidentiality
  • The ability to relate in a courteous, comfortable, non-judgmental manner with persons from all ethnic, socioeconomic, and religious backgrounds
  • Willing and able to work in a high-energy environment, to be organized, and to prioritize the needs of participants and workload
  • Desire and ability to work as a member of a team
  • Outstanding communication skills (verbal and written)

Job Type: Full-time

Pay: $17.38 per hour
