SUMMARY
The Import / Export Coordinator handles departmental administrative and clerical functions in logistics, sales support, accounting and related activities.
ESSENTIAL DUTIES/RESPONSIBILITIES
  • Reviews and processes sales and purchase contracts.
  • Checks and negotiates ocean freight with carriers and forwarders.
  • Manages logistics, including bookings and shipping instructions to suppliers & forwarders.
  • Makes AES filings in a timely manner for all export shipments.
    Collects/manages/files all shipping and support documentation.
  • Enters PO, SO and new customers/vendors into the ERP (E1) system.
  • Issues customs, A/R and commission invoices.
  • Monitors and prepares schedule for outbound shipments.
  • Manages all inbound shipments until delivery to final destination.
  • With Sales Rep, analyzes production schedule to ensure on-time delivery to customer.
  • Maintains effective communication with sales on status of customer material.
  • Monitors actual shipments to ensure customer requirements are met.
  • Process improvement activities, problem resolution, participation in special projects.
  • Reviews/corrects MIT Aging and RNV reports.
  • Runs AR aging reports to identify overdue accounts and ensures payment.
  • For month-end close, prepares all A/R and A/P batches for sign off.
  • Various administrative activities to support above listed responsibilities.

SUPERVISORY RESPONSIBILITIES
May lead (orient, train, assign, check work) of other administrative employees.

EDUCATION and/or EXPERIENCE
  • 2 + year degree in business or related field preferred
  • 3 - 5 years related experience required
  • English-Japanese bilingual language skills a plus
