The Project/Office Coordinator will be based in Irvine, CA, to perform the various duties including, but not limited to the below:

JOB TITLE: Project/Office Coordinator

  • Organize and schedule meetings, take notes, send reminders, write and share meeting minutes;
  • Develop and maintain filing databases, including but not limited to labeling and updating paper/digital files and putting files, digital or paper, into their proper locations;
  • Maintain and update our project management system (Monday.com) for each active project/department, including scheduling, progress tracking, dependencies, resource availability, reviews, and communication with other team members. Report concerns and escalate to management as needed;
  • Provide administrative assistance such as writing & editing emails, drafting memos, and preparing communications;
  • Manage project calendar/meetings, including making appointments and prioritizing sensitive matters;
  • Build a relationship with property management for assistance with facilities.
  • Maintain the inventory of office supplies, mailing supplies, company swag, and kitchen essentials; reorder supplies and furniture as needed;
  • Research information and organize files and documents for coworkers’ use, such as for reports
  • Provide administrative and logistical support for events & meetings including staff lunches, senior team meetings, Open House, and off-sites when necessary. This includes managing all aspects including vendor selection, catering, audiovisual, and other logistics;
  • Coordinate with Sister Company Exec/Admin Assistants to design and implement team-building activities;
  • Provide administrative and logistical support for the tenant, renter, and associate recruitment/onboarding/offboarding;
  • Provide administrative support with setting up automation for CRM, tenant portals, etc.;
  • Respond to inquiries and messages in a timely fashion;
  • Update spreadsheets, diagrams, Gantt charts, flow charts, and process maps to document project progress and needs;
  • Create and maintain comprehensive project documentation;
  • Handle confidential information with absolute discretion;
  • Perform other related duties as assigned.

DEVELOPMENT

  • Use and continually develop leadership skills;
  • Attend conferences and training as required to expand proficiencies.

KEY QUALIFICATIONS

  • Must be able to operate in a stressful, deadline-driven environment while still maintaining strict attention to detail and the ability to prioritize issues appropriately.
  • Solid organizational skills, including attention to detail and multitasking skills;
  • Excellent written and oral communication skills;
  • Demonstrated ability to succeed with limited supervision;
  • Proficiency in Monday.com or similar task management tool;
  • Proficient in organizing/running meetings via Zoom and/or Microsoft Team Meetings;
  • Record of success as part of a team or group effort;
  • Proficient in PowerPoint and presentation software;
  • Proficient in MS Office and Google Suite;
  • Working knowledge of both Mac and PC;
  • Ability to travel within Southern California a plus (mileage reimbursement provided);
  • Ability to work from our headquarters in Irvine.

EDUCATIONAL REQUIREMENTS

  • BA/BS from an accredited University of College or 3 years’ experience supporting an executive team preferred while working towards BA/BS degree completion;
  • Food and Beverage experience a plus.

SALARY RANGE

  • Commensurate on Experience. Range: $50K - $60K annually
  • Healthcare, Dental, Vision, 401k benefits provided.

Pay: $50,000.00 - $60,000.00 per year

  • 8 hour shift
