Overview:

Provides direct assistance to the C-Suite and works independently on special assignments related to corporate affairs. Manages access to the executives, maintains and modifies C-Suite's schedule. Ensures the executives are made aware of issues that need immediate attention. Handles confidential business matters and maintains smooth operation of the office when the C-Suite is unavailable. Typically responsible for the release of a variety of complex communications that affect the entire organization and designs and maintains procedures that allow appropriate access to confidential information.
- Provides secretarial/administrative support directly to executives (excluding CEO), exercising confidentiality, tact and diplomacy.
- Uses business software applications (e.g., word processing, presentation and spreadsheet) to prepare correspondence, reports, presentations, agendas, minutes, etc.; may prepare responses to routine correspondence and inquiries.
- Receives, screens and directs incoming calls, visitors, mail and email.
- Maintains files, records, calendars and diaries; typically arranges business travel, coordinates meeting arrangements and tracks expenses.
- May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (e.g., emergencies change in workload, rush jobs, or technical developments).
Qualifications:
- Bachelor's degree or equivalent experience.
- 5-7 years of experience.
- Travel on short notice.
- Work long or off hours.
- Maintain composure in high stress environment and demonstrate strong leadership.
- Must be willing to work irregular schedule.
- Highly developed PC skills: Windows, Word, Excel, PowerPoint.
- Strong analytical/problem solving experience to deal with complex problems.
- Strong organizational skills with an aptitude to juggle priorities to meet strict deadlines.
- Provide mentoring/training for new employees or existing employees as required.
- Domestic & International travel under 10% of time.
- Exerts up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. involves sitting most of the time but may involve walking or standing for brief periods of time.
