Job description
When you join our team as a Office Coordinator, you will be responsible for coordinating various office tasks and functions to ensure office operations run smoothly at all times. Tasks include, but are not limited to, front desk management, answering phones, maintaining office supplies, and scheduling meetings and appointments.
What You'll Do
- Warmly welcome and create a professional impression with staff and visitors.
- Answer and direct phone calls professionally and efficiently.
- Sort and distribute incoming mail and packages.
- Date-stamp invoices/statements and distribute to accounting staff.
- Arrange outgoing mail and shipments.
- Submit check requests for payment of office-related expenses.
- Book meeting rooms/set up catering and beverage services for meetings (includes pre & post-meeting setup & clean-up).
- Order business cards for employees and other printed materials as requested.
- Perform other clerical duties such as filing, photocopying, scanning, faxing, document retrieval and storage.
- Maintain inventory of kitchen and office supplies by anticipating requirements, ordering new supplies, and restocking.
- Organize travel for employees as required.
- Assist with organizing events when necessary.
- Maintain office equipment as needed.
- Help organize and maintain office common areas.
- Perform other duties duties as time allows (i.e. enter invoices, filing, etc.).
What You Offer
- Minimum 2-3 years of experience as an Office Assistant, Administrative Assistant, or other related field.
- Intermediate Microsoft Office skills (Word, Outlook, PowerPoint, and Excel).
- Strong communication and interpersonal skills, and ability to work effectively with others at all levels.
- High attention to detail.
- Demonstrated ability to work independently and take initiative.
- Excellent organizational and time management abilities required to prioritize a high volume of tasks or competing priorities.
- Capacity to perform duties with speed and accuracy.
- High degree of flexibility and ability to adapt to changes.
- High degree of professionalism.
